Job description

We are seeking an experienced, highly organized, and proactive Executive Assistant to the co-founders to provide high-level administrative and operational support to two senior executives. This role requires exceptional judgment, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced, dynamic luxury fashion environment.


The ideal candidate is a polished and solutions-oriented professional who can anticipate the needs of executives, manage complex schedules and priorities, coordinate high-level meetings and travel, and serve as a trusted point of contact both internally and externally.


The ideal candidate will have a minimum of 5 years of executive assistant experience, preferably supporting C-suite executives within luxury, fashion, retail, media, entertainment, or another highly creative and fast-paced industry.


Essential Job Functions

  • Provide comprehensive executive support to the CEO and Chief Creative Officer, including calendar management, scheduling, correspondence, meeting preparation, and follow-up.
  • Proactively manage complex and frequently changing calendars, prioritizing meetings and commitments based on business needs.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and travel changes.
  • Prepare meeting agendas, presentations, briefing materials, and other executive documents.
  • Attend select meetings, take detailed notes, track action items, and ensure timely follow-up.
  • Manage confidential and sensitive information with the highest level of discretion and professionalism.
  • Serve as a key liaison between the executives, leadership team, employees, clients, vendors, partners, and other external contacts.
  • Coordinate executive meetings, presentations, events, dinners, and other high-level engagements.
  • Assist with preparation and coordination of leadership meetings and executive initiatives.
  • Track projects, deadlines, deliverables, and follow-ups on behalf of the CEO and Chief Creative Officer.
  • Conduct research and prepare summaries, reports, and presentations as requested.
  • Manage incoming communications and help prioritize emails, requests, and correspondence.
  • Assist with personal and professional administrative matters as appropriate.
  • Support special projects and ad hoc initiatives requiring executive-level coordination and follow-through.
  • Anticipate potential scheduling conflicts, logistical challenges, and other issues and proactively identify solutions.
  • Maintain a highly organized system for executive priorities, contacts, documents, and ongoing projects.
  • Partner closely with other executive assistants and administrative teams to ensure seamless coordination across the organization.


Qualifications & Experience

  • Minimum 5 years of experience as an Executive Assistant, preferably supporting a CEO, C-suite executive, or senior leadership team.
  • Experience in luxury fashion, retail, creative industries, media, entertainment, or a similarly fast-paced environment strongly preferred.
  • Exceptional organizational and time-management skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality.
  • Highly proficient in Microsoft Office and/or Google Workspace, including Outlook/Gmail, Calendar, Word/Docs, Excel/Sheets, and PowerPoint/Slides.
  • Comfortable working with senior executives and high-profile internal and external stakeholders.
  • Ability to work independently, anticipate needs, and take initiative without extensive direction.
  • Professional, polished, composed, and personable demeanor.
  • Flexibility to adjust to changing schedules, priorities, and occasional after-hours needs.
  • Strong problem-solving skills and a solutions-oriented mindset.
  • Ability to operate effectively in a fast-paced environment with a high degree of ambiguity.
