Job description

Logistics Administrator

Positively support internal stakeholders by assisting with month-end activities and providing administrative support to ensure accurate and timely completion of required processes. Tracking and entering load information, contract details, to initiate the process for AR/AP invoicing.

This is a contract position to support demand during peak hiring season with a completion date in April 2027. This is a hybrid role; candidates must be located within a commutable distance to the Rochester, NY or Salt Lake City, UT office.

What you’ll do:

  • Tracks and confirms propane deliveries are booked accurately on sale, purchase, and storage contracts
  • Ensures 100% of dispatched loads are accounted for
  • Enters propane deliveries into operational accounting software – Creative Energy and Secure Sheets
  • Verifies transactions to ensure correct load dates, pricing, volume, locations and freight or other charges
  • Follows up with the appropriate internal or vendor contacts to investigate and resolve any errors and discrepancies with logistics, or obtain missing documentation
  • Analytical research to resolve discrepancies in BOL information, pricing, contracts
  • Manages recording and balancing inventory levels on a daily and monthly basis and month end reconciliation – including communication with terminal operators/storage sites to align
  • Completing assigned tasks for month end closing
  • Administrative support for logistics team.

What you bring:

  • Bachelor’s Degree preferred; High school diploma, GED, or equivalent required.
  • Up to 1 year of relevant experience preferred
  • Propane industry experience, Oil and Gas, Transportation, Logistics, Contract management preferred
  • Strong computer proficiency, including MS Office (Outlook, Word, Excel, PowerPoint and Project), Portal / Intranet
  • Flexibility and adaptability to frequently changing priorities and deadlines
  • Legal Authorization to work in the US is required. We will not sponsor individuals for employment visas now or in the future for this job opening.

The hourly rate for this position is $20.75 per hour.
