Job description

Job Title: Project Coordinator (Enterprise HR Transformation)
Role Overview
We are seeking a highly organized and execution-focused Project Coordinator to support a major HR workstream during a large-scale enterprise system implementation. In this role, you will provide critical hands-on coordination and administrative support to the HR Project Management Office (PMO). Your primary mission is to keep project activities organized, documented, and on track by managing tracking tools, following up on cross-functional deliverables, and ensuring seamless communication across the project team. The ideal candidate is detail-oriented, responsive, and thrives in a fast-paced environment where accuracy and follow-through are paramount.
Key Responsibilities
Project Coordination & RAID Management
• Active Tracking: Maintain and update core project tracking tools, including RAID logs (Risks, Actions, Issues, and Dependencies).
• Workstream Alignment: Track deadlines and dependencies across various HR functional teams (Payroll, Benefits, Talent Acquisition, etc.) to ensure a unified implementation.
• Stakeholder Engagement: Proactively follow up with stakeholders to collect progress updates and ensure the timely completion of assigned tasks.
• Data Integrity: Ensure all project information in the master repository is accurate, current, and consistently maintained.
Meeting & Documentation Support
• Logistics: Schedule and coordinate project meetings across a diverse group of internal and external stakeholders.
• Reporting: Prepare meeting agendas and supporting materials; capture concise meeting notes, key decisions, and action items for immediate distribution.
• Task Management: Update and manage tasks within JIRA Work Management (or similar enterprise tracking tools).
• Asset Maintenance: Organize and maintain project documentation in SharePoint or central shared repositories.
Implementation & UAT Support
• Testing Coordination: Assist with the coordination of User Acceptance Testing (UAT), including tracking tester progress and consolidating status updates.
• Data Tracking: Support data collection and tracking for key go-live and implementation activities.
• Requirements Documentation: Assist in maintaining documentation related to business requirements, process flows, and final design decisions.
Qualifications & Requirements
• Experience: 1-3+ years in project coordination, PMO support, or high-level administrative project support within a corporate or consulting environment.
• Core Skills:
oStrong foundational understanding of project tracking concepts (tasks, timelines, and dependencies).
oExcellent written and verbal communication skills with a focus on professional clarity.
oAdvanced organizational skills with the ability to manage multiple priorities simultaneously.
• Software Proficiency:
oHands-on experience using JIRA or similar project tracking software.
oProficiency in Microsoft Excel and PowerPoint for status reporting and presentations.
oExperience with collaboration tools such as SharePoint and enterprise messaging platforms.
Preferred Credentials
• Prior exposure to HRIS or HCM-related system transformations (e.g., global HR software rollouts).
• Familiarity with large-scale human capital management systems.
• Experience supporting structured project testing or UAT activities.
