Our client, a well-established and growing commercial construction company, is seeking a Construction Paralegal / Contracts Administrative Assistant to support its legal and contracts operations. This is an excellent opportunity for a detail-oriented professional with experience in construction administration, contracts, or legal support who enjoys working in a fast-paced environment where organization, accuracy, and confidentiality are essential.Position Overview
The Construction Paralegal / Contracts Administrative Assistant will provide administrative and legal support for construction contracts, subcontract documentation, compliance records, insurance documentation, and contract administration. This role works closely with operations and leadership to ensure documents are organized, accurate, and maintained throughout the project lifecycle.
This position offers excellent long-term growth for someone looking to build a career supporting legal and contract operations within the construction industry.Key Responsibilities
  • Assist with preparing, organizing, proofreading, routing, and tracking construction contracts, amendments, subcontract agreements, NDAs, change documents, notices, and project closeout documentation.
  • Maintain organized legal and contract files, executed agreements, document indexes, version control, and confidential records.
  • Coordinate and track insurance certificates, bonds, lien releases, warranties, and other compliance documentation.
  • Support outside legal counsel by organizing requested documentation and preparing contract packages when needed.
  • Prepare correspondence, meeting notes, document summaries, reports, and other administrative materials.
  • Monitor contract status and assist with document tracking throughout active projects.
  • Maintain strict confidentiality while handling sensitive legal and business information.
  • Collaborate with operations, project teams, and leadership to ensure accurate contract administration and documentation.
Qualifications
  • Minimum of 2 years of experience in one or more of the following:
    • Construction Paralegal
    • Legal Assistant
    • Contracts Administrator
    • Construction Administrator
    • Project Administrator
  • Experience supporting construction projects or the commercial construction industry is strongly preferred.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple priorities while meeting deadlines.
  • High level of professionalism and discretion when handling confidential information.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Adobe Acrobat/PDF workflows.
  • Experience with Bluebeam, Procore, or other construction management platforms is a plus.
  • Bilingual English/Spanish is a plus.
  • Paralegal Certificate, Legal Studies coursework, or prior law firm experience is considered an asset.
