Job description

Seeking a Contracts Supervisor who will provide senior-level oversight and hands-on management of the contract lifecycle, from review and negotiation through execution and ongoing administration. This role will supervise contract staff while working closely with Purchasing, Legal, Accounting, Risk, IT, and internal stakeholders to ensure contracts are processed efficiently and in accordance with organizational policies and requirements. The ideal candidate will be a strategic yet operational leader who is comfortable managing complex contracts, negotiating with vendors, supporting staff, and building strong relationships across departments.


Responsibilities:

  • Supervise and support contract staff while assisting the Contract Unit Manager with daily operations, workflow, staff development, and departmental priorities.
  • Oversee the contract lifecycle across Purchasing, Legal, Accounting, Risk, IT, and end-user departments, ensuring timely, accurate, and compliant execution.
  • Manage complex and high-level contracts while remaining hands-on with contract administration, vendor negotiations, contract execution, and issue resolution.
  • Lead vendor communications and negotiations while developing strong, professional relationships with vendors, suppliers, and internal stakeholders.
  • Ensure contracts comply with purchasing policies, procedures, approval requirements, and applicable regulations.
  • Serve as a senior subject matter expert for contract-related questions, escalations, risks, and complex negotiations.
  • Guide staff and cross-functional stakeholders through contract processes, timelines, requirements, and responsibilities while identifying opportunities to improve efficiency and workflow.
  • Exercise sound judgment and flexibility when addressing ambiguous situations, changing priorities, contract risks, or operational challenges.
  • Travel to organizational locations or reservations as needed and maintain flexibility based on business needs.


Qualifications:

  • Bachelorโ€™s degree in Business, Public Administration, Finance, or a related field; Masterโ€™s degree strongly preferred.
  • 6+ years of contract administration experience, including at least 2 years in a senior-level contracts role; 5+ years of overall professional experience.
  • Prior supervisory or team leadership experience preferred, with the ability to mentor staff while remaining hands-on with contract operations.
  • Strong experience managing complex contracts throughout the full contract lifecycle, including vendor negotiations, relationship management, compliance, and execution.
  • Experience in government, public-sector, municipal, construction, or similarly structured environments preferred.
  • Lawson experience is highly desirable, along with experience using contract tracking, procurement, or contract management systems.
  • Strong understanding of contract compliance, purchasing policies, approval processes, and vendor management.
  • Excellent communication, negotiation, organizational, and problem-solving skills, with the ability to work effectively across multiple departments and stakeholder levels.
  • Flexible, collaborative, adaptable, and relationship-driven personality with the ability to work effectively in a structured environment without being overly rigid or bureaucratic.
  • Strong attention to detail and the ability to manage multiple contracts, priorities, deadlines, and sensitive matters independently.
