What is a contract event planner?

Contract event planners are professionals who are hired on a temporary or project basis to organize and manage events such as conferences, weddings, corporate meetings, or parties. Unlike full-time staff, they typically work independently or through an agency and handle all aspects of event planning, including budgeting, vendor coordination, logistics, and on-site management. Their role is to ensure events run smoothly and meet the client's objectives, drawing on their expertise and network of contacts. Contract event planners offer flexibility and specialized skills, making them a popular choice for clients with occasional or unique event needs.

What does a contract event planner do?

Contract event planners are independent contractors hired to organize and coordinate all the aspects of an event. In this role, you discuss the needs and expectations of your client concerning the size and other details of the event. If the venue has not been chosen, your first responsibility is to help your client find a location to hold the event. Then you research and book various vendors that can provide the look and feel that your client wants, such as caterers, florists, and DJs or live bands. Open communication with your client throughout the planning process is essential to ensure that the details are approved and on budget. Many contract event planners are also expected to attend the event and assist with any issues that arise on that day.

What are the key skills and qualifications needed to thrive as a contract event planner, and why are they important?

To thrive as a Contract Event Planner, you need expertise in project management, budgeting, logistics, and strong knowledge of the events industry, often supported by a degree in hospitality or a related field. Familiarity with event management software (such as Cvent or Eventbrite), vendor management platforms, and, in some cases, certifications like the Certified Meeting Professional (CMP) designation is valuable. Exceptional organizational skills, creativity, negotiation abilities, and effective communication help you stand out by ensuring seamless event execution and client satisfaction. These competencies are crucial for managing complex events, meeting client expectations, and delivering memorable experiences within deadlines and budgets.

How does a contract event planner typically coordinate with vendors and clients during the planning process?

As a contract event planner, you will act as the main point of contact between clients and various vendors such as caterers, venues, and audiovisual teams. This involves regular communication to clarify client expectations, negotiate contracts, and ensure timelines are met. You'll often use project management tools and attend site visits to oversee progress and troubleshoot any issues. Strong organizational skills and proactive communication are essential for ensuring all parties are aligned and that the event runs smoothly.

Can you become a contract event planner?

Yes, a contract event planner can work on a temporary or project basis, often requiring strong organizational skills, industry experience, and the ability to manage events independently. Many contract planners build portfolios and may need relevant certifications or networking to secure contracts. Flexibility and self-motivation are important in this role.

Is there a demand for contract event planners?

Contract event planners are in demand due to the ongoing need for specialized planning for corporate events, weddings, and conferences. Many organizations seek flexible, skilled professionals with project management skills and experience with event management tools. The gig economy and remote work options also contribute to increased opportunities in this field.

What kind of contract event planners make the most money?

Experienced contract event planners who specialize in large-scale corporate events, high-profile weddings, or luxury events tend to earn the highest fees. Their income is often driven by their reputation, negotiation skills, and ability to manage complex logistics efficiently. Certifications and a strong portfolio can also contribute to higher earning potential in this field.

Job description

Experience Without Limits
Come shape the future of brand experience.

At Jack Morton, we design and build head-turning, smile-inducing, impact-driving brand experiences that redefine what experiential marketing can achieve. We help our clients unlock the full value of experiences by turning bold ideas into meaningful connections.

That takes a team that's bold, curious, and acts as one. We build on each other's ideas, challenge conventions, and show up for one another every day. Here, you'll do your best work, grow quickly, and partner across clients, disciplines, and global teams to bring new ideas to life.

This is a place where curiosity drives what's next, boldness raises the bar, and every win is shared. Where ownership is expected, egos are left at the door, and the work reflects the passion and talent of the people behind it.

Experience without limits—in your work, your growth, and your impact.

As an Event Specialist embedded with Mastercard, you will serve as a client-facing expert responsible for the end-to-end delivery of meetings and events, with a strong focus on event technology, marketing integration, and data-driven insights.

This role requires deep expertise in Cvent, along with working knowledge of Salesforce to support lead generation, attendee engagement, and post-event reporting. You will design and execute seamless event experiences across in-person, virtual, and hybrid environments while ensuring alignment with client objectives and brand standards.

Fluency in Spanish and English (written and spoken) is required to support global stakeholders and deliver bilingual event solutions.

Key Responsibilities

Event Technology & Cvent Management

· Configure and manage events within Cvent, including complex registration paths, travel, and accommodation modules

· Build and maintain event websites, mobile apps, email campaigns, and virtual platforms

· Manage invitation lists, attendee communications, and on-site technologies (e.g., badging, check-in)

· Serve as a subject matter expert on event technology and support adoption of new tools and features

---

Event Planning & Execution

· Lead full lifecycle event management: planning, sourcing, execution, and post-event reconciliation

· Coordinate logistics including venues, hotels, travel, food & beverage, AV, and on-site staffing

· Negotiate contracts and manage supplier relationships to meet budget and quality expectations

· Oversee registration, housing blocks, and attendee experience from pre-event through on-site delivery

· Travel to support onsite execution of high-profile events, conferences, and trade shows

---

Marketing & Sales Enablement

· Develop and execute event marketing strategies, including branded communications and campaigns

· Support lead generation efforts and integrate event data into Salesforce

· Collaborate with marketing and sales teams to align events with pipeline and revenue goals

· Manage sponsorships, promotional activities, and attendee engagement strategies

---

Data Analysis & Reporting

· Analyze event performance data and provide actionable insights to stakeholders

· Create standard and custom reports using Cvent and Excel

· Track attendee metrics, engagement, and ROI

· Develop reporting templates for ongoing and recurring programs

---

Client & Project Management

· Act as a primary point of contact for Mastercard stakeholders on event-related initiatives

· Participate in client meetings, providing updates on timelines, deliverables, and risks

· Develop detailed project plans, timelines, and milestones

· Manage multiple projects simultaneously while meeting tight deadlines

---

Governance & Compliance

· Ensure adherence to data privacy, security, and compliance standards

· Maintain accurate budgets, forecasts, and financial reconciliations

· Track expenses, invoices, and financial reporting within internal systems

---

Post-Event Insights & Continuous Improvement

· Design and manage post-event surveys

· Analyze feedback and recommend improvements for future events

· Identify opportunities to optimize processes, reduce costs, and enhance attendee experience

---

Qualifications & Requirements

· Fluent in Spanish and English (required)

· Proven experience in event management, meetings, or conference planning

· Strong expertise in Cvent (certification preferred)

· Experience with Salesforce, including lead capture and integration

· Background in event marketing, branding, and communications

· Proficiency in Microsoft Excel and data analysis

· Strong project management and organizational skills

· Ability to manage multiple events and deadlines in a fast-paced environment

· Willingness to travel globally as needed

---

Key Competencies

· Client-focused with strong stakeholder management skills

· Detail-oriented with excellent problem-solving ability

· Commercial mindset with experience managing budgets and vendor negotiations

· Strong communication skills in both Spanish and English

· Ability to work cross-functionally and independently in a client-embedded environment
