MISSION:
This role directly serves Sunrise Ranch's mission by ensuring seamless, well-coordinated events that create a reliable, welcoming, and grounded environment for guests, facilitators, and community members. Through precise event logistics management, systems accuracy, and cross-department coordination, the Events Logistics Coordinator strengthens operational integrity and supports the consistent delivery of transformational programs. Success is measured by timely and accurate execution of event logistics, high levels of client and guest satisfaction, and adherence to organizational policies, contract integrity, and responsible resource stewardship. This work embodies conscious service by creating spaces of welcome, reducing operational friction, and making a measurable contribution through organized, attentive, and service-oriented execution in support of Sunrise Ranch's purpose.
WORK AVAILABILITY: Up to 29 hours per week dedicated to Events Department support which may include nights, weekends, and holidays.
SALARY RANGE: $20 - $22 per hour DOE
KEY RESPONSIBILITIES:
1) Event Logistics Coordination & Client Management
  • Initiate and manage the event logistics process with clients starting six weeks prior to arrival
  • Coordinate and manage all logistical details for conferences, retreats, and internal programs from planning through completion
  • Collect, organize, and confirm all event details, including:
    • room layouts and setup
    • equipment and A/V requests
    • schedules and timelines
    • snacks, add-ons, and services
    • Attunements, Welcome Talks and Guiding Hikes
    • staff arrival times and facilitator's needs
    • debrief planning
  • Confirm finalized logistics with clients and ensure clarity, accuracy, and alignment with contract terms and organizational policies
  • Work with the Event Director on requests outside of standard policy or contractual scope
  • Greet facilitators and groups upon arrival and support resolution of last-minute needs
  • Verify all event requests align with Sunrise Ranch policies and available resources

2) Administrative Systems, Documentation & Event Accuracy
  • Maintain and organize all event documentation, including contracts, Event Detail Plans, emails, and operational records
  • Enter, update, and maintain accurate event data in Retreat Guru
  • Ensure all internal and external events are properly set up and maintained in event systems
  • Maintain organized digital and paper files, including historical records in the Events Shared Drive
  • Create and maintain Google Calendar schedules, reminders, and internal tracking systems
  • Use and maintain event checklists to ensure consistency and completeness
  • Ensure accuracy and organization across all event systems and logistical details
  • Record and update training materials and guides for this role in Google Drive

3) Cross-Department Coordination, Communication & Operational Support
  • Coordinate with the Director of GCB to ensure accurate event web pages and website calendar listings
  • Communicate with Maintenance regarding facility needs, repairs, and room readiness
  • Assist Front Desk staff as needed with guest arrivals and event support
  • Attend weekly team meetings to provide updates and align on priorities
  • Collaborate across departments to ensure smooth execution of all programs and guest experiences
  • Support onboarding and training of the incoming Event Logistics hire as needed

4) Guest Experience, Billing & Mission Support
  • Provide exceptional customer service to clients, facilitators, guests, and visitors throughout the event lifecycle
  • Ensure all charges and contractual details are accurately reflected in event records
  • Prepare initial Kitchen Reports for Guest Services and communicate finalized needs to the kitchen team
  • Contribute to a welcoming, supportive, and professional environment for all guests and staff
  • Support the Sunrise Ranch mission through teamwork, communication, and operational excellence

  • Experience in event coordination, retreat centers, conference services, hospitality, or guest operations
  • Familiarity with Retreat Guru or similar event management platforms

  • Experience supporting onboarding, training, or documentation development for team roles
  • Background in multi-department operational coordination (Events, Operations, Facilities, Guest Services)
