Job description

Our client, a world leader in biotechnology and life sciences, is looking for a "Conference Event Planner II (100% Remote)".


Job Duration: Long Term Contract (Possibility Of Extension)

Pay Rate : $48/hr on W2

Support the planning and execution of U.S.-based congresses, conferences, and related meetings by managing event logistics, vendor coordination, registration, budgets, and operational activities. Partner with internal stakeholders and external vendors to ensure successful event delivery while driving process improvements and planning consistency across the team.


Key Responsibilities:

  • Lead planning and execution of Tier 2/3 and regional congresses, ensuring timelines, deliverables, and event objectives are met.
  • Coordinate registration, attendee communications, budget tracking, purchase orders, and event logistics.
  • Manage congress allocation processes and maintain accurate event data and records.
  • Collaborate with vendors and cross-functional teams to support seamless event execution.
  • Monitor budgets, invoices, deadlines, and operational activities; proactively resolve issues.
  • Maintain event assets, planning tools, playbooks, and best-practice documentation.
  • Support implementation of new technologies and process improvements, including AI-enabled solutions.
  • Serve as a key point of contact for congress planning operations and stakeholder support.
  • Prepare post-event reports, metrics, and analysis to evaluate event success.


Qualifications:

  • Bachelorโ€™s degree required.
  • 3+ years of experience in congress planning, conference management, event planning, or meeting coordination.
  • Strong project management, organizational, and communication skills.
  • Experience managing vendors, budgets, registrations, and event logistics.
  • Ability to work effectively in a fast-paced, cross-functional environment.
  • Experience in biotech, pharmaceutical, healthcare, or medical meeting environments preferred.


Preferred Qualifications:

  • Certified Meeting Professional (CMP), Certified Tradeshow Marketer (CTSM), or equivalent certification.
  • Experience supporting scientific congresses, medical conferences, or pharmaceutical events.
