Job description

Job Title: Development Coordinator
Located in Loudoun County, Community Church exists to love people the same way God loves us. We desire to see people experience God, meet friends, make a difference, and become a leader. Virginia Academy serves the mission of Community Church by preparing students for their best life, through faith (a confidence in God), scholarship (a passion for knowledge), and purpose (a desire to make a positive impact). We see our graduates making a positive impact in every arena of life.
The Development Coordinator is responsible for managing advancement systems and donor stewardship processes while helping execute fundraising campaigns, special events, alumni engagement initiatives, and strategic communications that advance the mission of Virginia Academy. This individual serves as a key member of the Advancement Team, working collaboratively across Admissions, Development, and Marketing & Communications to strengthen relationships with current families, alumni, donors, grandparents, community partners, and prospective families.
This position reports directly to the Director of Advancement
Key Responsibilities:
Development & Donor Relations
  • Manage donor records, gifts, pledges, acknowledgments, and reporting through Raiser's Edge NXT.
  • Coordinate donor stewardship activities, including thank-you letters, recognition programs, and impact reporting.
  • Assist with annual giving initiatives, including the Patriot Fund.
  • Support endowment fundraising efforts and capital campaigns.
  • Prepare donor reports, prospect research, and fundraising analytics.
  • Help cultivate relationships with donors, grandparents, foundations, and community partners.
  • Maintain accurate records of donor interactions and campaign activity.

Alumni Relations
  • Develop and maintain Virginia Academy's alumni database.
  • Coordinate alumni communications and engagement initiatives.
  • Organize alumni events, networking opportunities, reunions, and campus visits.
  • Highlight alumni success stories through advancement and marketing channels.
  • Build a culture of lifelong connection between graduates and Virginia Academy.

Parent Engagement & Volunteer Leadership
  • Support the development and growth of Patriot Parent leadership teams.
  • Recruit, train, and encourage parent volunteers.
  • Coordinate volunteer opportunities that support advancement and school initiatives.
  • Strengthen relationships between families and the school's mission.

Advancement Events:
Lead and support the planning and execution of major advancement events, including:
  • Patriot Fund initiatives
  • Boosterthon
  • Annual Golf Tournament
  • Gala and fundraising events
  • Donor appreciation gatherings
  • Grandparents Day
  • Alumni events
  • Special cultivation and stewardship events.
  • Responsibilities include event logistics, volunteer coordination, sponsorship support, communications, registration management, and post-event reporting.

Admissions & Community Engagement
  • Support admissions efforts through campus tours and prospective family engagement.
  • Assist with enrollment events and open houses.
  • Serve as an ambassador of Virginia Academy to prospective families and community stakeholders.
  • Help communicate the school's mission, vision, and impact to external audiences.

Marketing & Communications
  • Help identify students, faculty, or programs that have benefited from philanthropic support.
  • Provide content for annual reports and campaign updates.
  • Coordinate with marketing to advertise fundraising events, galas, golf tournaments, auctions, and giving campaigns.
  • Assist with creating event invitations, email campaigns, and registration materials.
  • Provide sponsorship information and donor recognition content.
  • Review and update giving pages, campaign information, and donor recognition pages.

Advancement Communications
  • Collaborate with the Marketing & Communications team to create donor, alumni, and advancement-focused communications.
  • Assist with newsletters, annual reports, fundraising appeals, campaign updates, and impact stories.
  • Gather stories and testimonials that demonstrate the mission and impact of Virginia Academy.
  • Ensure consistent advancement messaging across communication channels.

Advancement Operations
  • Maintain advancement databases and reporting systems.
  • Generate reports and dashboards related to fundraising performance, donor retention, and campaign progress.
  • Manage gift processing and reconciliation procedures.
  • Support budget tracking and advancement project management.
  • Assist in developing systems and processes that improve efficiency and donor experience.

Required
  • Bachelor's degree in related field or equivalent professional experience.
