Professional Search Group OC is partnering with a growing Operations Specialist and innovative IT organization in Orange County to identify a highly organized and proactive Operations Specialist. This role is critical to supporting day-to-day business operations and driving efficiency across multiple functional areas.


Position Summary
The Operations Specialist will serve as a central resource supporting operational workflows, financial processes, and cross-functional coordination. This individual will play a key role in maintaining the overall health of the business by managing accounting-related activities, overseeing project execution, coordinating with vendors and carriers, and ensuring accurate documentation and communication across departments.

Operations Specialist Responsibilities

  • Manage core accounting support functions including expense reconciliation, commission tracking, data entry, variable billing, and accounts receivable/payable
  • Oversee monthly certificate and support renewals to ensure compliance and continuity
  • Lead cross-functional projects from initiation through completion, ensuring timelines and deliverables are met
  • Coordinate facility-related needs, including maintenance requests and internal communications
  • Act as a liaison with vendors and carriers to support service delivery and contract management
  • Manage the full lifecycle of quotes and orders, including creation, review, approvals, and order entry with a high degree of accuracy
  • Maintain organized documentation, reporting structures, and communication channels across teams
  • Identify opportunities to improve internal processes, tools, and systems to drive operational efficiency


Operations Specialist Qualifications

  • Working knowledge of accounting principles with the ability to interpret financial reports
