We are seeking an Account Coordinator to support the daily servicing of clients and assist the account team in keeping projects moving accurately and on schedule. A primary focus of this role is managing client submissions and routing materials through compliance and regulatory review workflows - with a high degree of attention to detail, documentation discipline, and follow-through. This role is for someone who takes pride in delivering white-glove service, thrives in a deadline-driven environment, and uses AI tools to work more efficiently and stay ahead of competing priorities.

What You'll Do

  • Prepare, submit, and track materials through client compliance and regulatory review systems, ensuring accuracy, completeness, and adherence to submission requirements
  • Use AI tools to improve the speed and quality of proofing, documentation, version tracking, status reporting, and day-to-day coordination tasks
  • Route deliverables through internal and client approval workflows, monitoring status and following up proactively to keep timelines on track
  • Maintain version control, references, and documentation across all submitted materials throughout the project lifecycle
  • Review and proof materials for accuracy and adherence to client guidelines before submission, catching issues before they reach the client
  • Coordinate with creative, data, and development teams to gather and finalize deliverables that are complete and ready for submission
  • Provide direct support to clients on day-to-day requests, maintaining professional and responsive communication at all times
  • Help maintain project trackers, status documents, and client-facing reports that give the team and clients clear visibility into project progress
  • Become deeply familiar with assigned clients, their products, services, and submission requirements - building the knowledge base needed to support them at a high level
  • Assist the account team with event coordination and logistics as needed, including occasional travel to support events or client meetings approximately one to two times per year

What Sets You Apart

  • 1 or more years of relevant work experience; agency or healthcare and regulated-industry experience a plus
  • An AI-native mindset. You actively use tools such as ChatGPT, Claude, or productivity platforms to improve how you organize work, draft communications, and manage documentation - and you can speak to the impact
  • Exceptional attention to detail and accuracy, particularly with compliance documentation, version control, and submission workflows
  • Experience with compliance, regulatory, or content review and submission workflows preferred
  • Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines simultaneously without losing quality
  • Action-oriented and resourceful - you do not wait for direction when a path forward is clear, and you follow through without needing close oversight
  • Strong verbal, written, and client communication skills, with a genuine commitment to delivering excellent service
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Bachelor's degree required

AI Capability Expectation

Candidates should be prepared to discuss how they are currently using AI in their coordination, account management, or administrative work. This includes:

  • Specific tools in active use and how they support documentation, proofing, workflow tracking, or client communications
  • Measurable impact such as time saved, improved accuracy, or increased capacity to manage concurrent projects and submissions
  • How you use AI responsibly when handling sensitive client materials, regulatory submissions, or compliance documentation
  • Bonus: examples of AI-assisted workflows or systems that improved accuracy or efficiency in a deadline-driven environment

Compensation Range

$45,000 to $50,000 per year, depending on qualifications. Eligible for annual company bonus program or commission incentive based on role. Compensation will depend on factors including educational background, skills, and professional experience.
