Job Summary:
The Practice Administrator serves as the executive leader of our large-scale pediatric practice. This role holds full operational, financial, and administrative oversight across all clinical and non-clinical departments. The ideal candidate will leverage Epic EHR expertise to optimize workflows for high-volume patient traffic, ensure strict compliance with pediatric health regulations, and foster a welcoming, family-centered culture.
Key Responsibilities:
Strategic Operations & High-Volume Flow
All-Job Oversight:
Supervise and align all practice roles, including front-desk receptionists, medical billers, medical assistants, nursing staff, Behavioral Health Department, and Medical Home Care Coordinator.
Epic EHR Optimization:
Lead the customization, optimization, and daily utilization of the Epic EHR platform to streamline workflows, charting, and scheduling.
Patient Flow Management:
Design and implement operational workflows to manage high-volume daily scheduling, acute-care triage, and seasonal spikes, e.g., flu season.
Financial Management & Revenue Cycle
Epic Resolute & Revenue:
Oversee the revenue cycle within the Epic ecosystem, ensuring accurate coding for pediatric-specific services, vaccines, and preventative well-child visits.
Fiscal Accountability:
Develop, manage, and monitor the practice's annual operating budget. Banking.
Staff Leadership: Manage recruitment and retention, and performance evaluations for all administrative and clinical support staff.
Culture Cultivation:
Maintain a supportive, collaborative workplace culture that enhances professional satisfaction
Compliance, Risk, & Quality Assurance Regulatory Compliance:
Maintain strict adherence to HIPAA, OSHA, and federal/state healthcare regulations.
Quality Improvement: Lead clinical quality initiatives, tracking patient satisfaction metrics, and implementing family-centered safety protocols.
Technology & Infrastructure:
Maintain the PPOC required life cycle management of all computers.
Lead in new developments of cutting-edge technology for the practice and work in a cohesive, collaborative manner with the PPOC.
Education & Experience Requirements:
A bachelor's degree in healthcare administration, Business Administration, or Finance
Experience: 5 to 7+ years of progressive medical practice management experience, ideally with specific exposure to pediatrics
Credentials:
CMPE (Certified Medical Practice Executive): Offered by the Medical Group Management Association (MGMA). This is the most widely recognized credential for medical practice leaders.
FACMPE (Fellow of the American College of Medical Practice Executives): The advanced tier above CMPE, highly attractive to large medical groups.
CPOE (Certified Pediatric Office Executive): A pediatric-specific credential offered by the Pediatric Management Institute (PMI) that focuses heavily on the unique financial and operational traits of a pediatric practice.
Pediatric Management Institute
CMM (Certified Medical Manager): Issued by the Professional Association of Health Care Office Management (PAHCOM).
Pay: $110,000.00 - $130,000.00 per year (negotiable)
