Position Overview

We are seeking an organized, hospitality-driven Event Operations Manager & Sales Coordinator to oversee the successful planning and execution of private events for a luxury boutique inn and fine dining hospitality destination.

This hybrid role combines event coordination, client communication, operational planning, and onsite event leadership. The successful candidate will take ownership of events after the sales process, ensuring every detail is executed flawlessly from initial planning through post-event follow-up.

Key Responsibilities

Event Planning & Client Coordination

  • Manage events from signed contract through final execution
  • Coordinate menu selections, floorplans, guest counts, timelines, rentals, and vendor logistics
  • Prepare Banquet Event Orders (BEOs), event timelines, floorplans, and client-facing documents
  • Maintain accurate event information and communications within event management systems
  • Manage revisions and updates while ensuring all departments remain informed
  • Support client meetings, event walkthroughs, and site tours as needed
  • Collaborate closely with culinary, service, lodging, and facilities teams to ensure seamless event preparation
  • Attend weekly event meetings and distribute detailed recaps to operational teams

Event Operations & Execution

  • Serve as the primary operational lead for private events
  • Oversee event setup, staffing, execution, and breakdown
  • Create internal run-of-show documents and operational plans
  • Coordinate communication between front-of-house, back-of-house, and event teams
  • Ensure timelines are followed and service standards are maintained throughout each event
  • Anticipate guest needs and resolve operational challenges in real time
  • Lead event staff and ensure all team members understand expectations and responsibilities
  • Conduct post-event reviews and identify opportunities for continuous improvement

Operational Leadership

  • Partner with facilities and operations teams to ensure event spaces remain presentation-ready
  • Monitor event quality, service standards, and guest satisfaction
  • Maintain organized documentation and event records
  • Ensure all events reflect the highest standards of hospitality, professionalism, and attention to detail

Qualifications

  • 2–4+ years of experience in hospitality, event management, restaurant operations, hotel operations, or related fields
  • Experience coordinating private events, weddings, social events, corporate functions, or luxury hospitality events preferred
  • Strong organizational and project management skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple projects simultaneously while maintaining exceptional attention to detail
  • Strong problem-solving skills and ability to remain calm under pressure
  • Experience with Tripleseat or similar event management software preferred
  • Ability to work evenings, weekends, and holidays as required by event schedules
  • Passion for hospitality and creating exceptional guest experiences
