Job description

Description
This is a hands-on operator role, not an advisory one. You will run the firm's daily operations from intake to settlement and be accountable for case volume and settlement pace, staff performance, vendor relationships, and process integrity. You will report directly to the founder and managing attorney and carry real authority over non-attorney staff.
We are based in Larchmont, NY. Local and NY metro candidates will work a hybrid schedule with regular in-office presence. For an exceptional candidate outside the metro area, we are open to a fully remote arrangement with planned visits to our Larchmont office approximately 2 days, five times per year.
TO APPLY
Send your resume along with a cover letter that addresses each of the following questions. Applications that do not include a cover letter responding to all five questions will not be considered.
  • Describe a specific operational problem you inherited at a law firm and exactly how you fixed it.
  • What case management system have you worked with most extensively, and what did you build or improve in it?
  • How do you manage accountability with remote staff who are not meeting expectations?
  • What does your system look like for making sure nothing falls through the cracks on a high-volume caseload?
  • Describe a time you had to tell an attorney or firm owner something they did not want to hear.

Responsibilities
• End-to-end case pipeline including intake conversion, stage progression, and settlement pace
• Day-to-day management of paralegals, legal assistants, and intake staff
• Case management system ownership and process documentation
• Vendor and lienholder relationships
• Hiring, onboarding, and performance management for non-attorney staff
• Reporting and operational dashboards for leadership
• SOPs: building them, enforcing them, and improving them
Qualifications
• Bachelor's degree required in business, management, healthcare administration, or similar
• 5 to 10 years of law firm operations experience, preferably on the plaintiff's side or high-volume contingency
• Demonstrated experience managing remote legal staff and holding them accountable
• Fluency with a case management platform such as Smart Advocate.
• Track record of building and enforcing systems, not just inheriting them
• Clear, direct communicator who can give and receive hard feedback
• ALA membership or CLM certification is a plus, not a requirement
