The Client Development & Engagement (CDE) function sits at the heart of the Firm's growth strategy, bringing together business development, marketing, events and communications. Working closely with Partners, practice leaders, and cross functional teams, CDE supports high impact initiatives such as pitches and RFPs, strategic marketing and communications, and practice level business initiatives. The team leverages data, insights, and creative problem solving to help Partners drive sustained growth through repeatable excellence and a differentiated client experience.
Job Summary
The CDE Administrative Coordinator is responsible for administrative and office support functions such as scheduling meetings, handling information requests, processing expenses and liaising with staff in various departments and external contacts. This role will primarily support the Client Development & Engagement Leadership Team, but the Administrative Coordinator will also be responsible for providing support to additional CDE team members.
Executive Calendar & Priority Management
โ€ข Manage complex calendars, ensuring alignment across stakeholder priorities, high-value engagements, and Firm-wide obligations.
โ€ข Anticipate scheduling conflicts and proactively resolve them with diplomacy and discretion.
โ€ข Coordinate meetings, prep materials, and ensure leaders are well-briefed in advance.
โ€ข Work with various regional office assistants to secure meeting rooms and arrange room set-up.
Operational Enablement
  • Coordinate internal operations to ensure the Business Development function runs efficiently-this may include budget tracking, candidate pipeline management, vendor management, event logistics, and document preparation.
  • Work in close partnership with the Associate Director, Strategy, Planning & Operations (ADSPO) on to develop and stand up processes, templates, and systems that support scalability and cross-functional visibility.
  • Support development and coordination of internal communications, including team updates, meeting summaries, and project briefs.
  • Collaborate with other CDE colleagues and Client Development Operations Coordinator as needed for large-scale department events and projects. Provide backup coverage as needed.
  • Perform other duties as assigned.

Education
Required
  • High School Diploma or GED equivalent

Preferred
  • Bachelor's degree

Skills and Experience
Required
  • Minimum of 3 years of executive assistant experience, preferably in a law firm or in professional services
  • Excellent interpersonal skills and a professional demeanor; ability to work effectively with all levels of Firm personnel and stakeholders
  • Ability to adapt to diverse work styles, providing consistent and personable service
  • Strong written and verbal communication skills
  • Strong knowledge of Microsoft Office Suite and Outlook. Tech-savvy with the ability to learn new technologies
  • Familiarity with collaboration tools such as Microsoft Teams, Zoom, etc.
  • Ability to manage projects and work collaboratively in a team environment
  • Strong attention to detail with the ability to proofread written materials and presentations
  • Demonstrated ability to work independently and collaboratively as part of a team
  • Possess sound judgment and discretion when handling confidential and sensitive information
  • Ability to multi-task efficiently and effectively
  • Flexibility and adaptability to handle changing priorities and deadlines

Preferred
  • Advanced knowledge in MS Word, Excel and PowerPoint
  • Experience managing databases

Salary Information
NY Only: The estimated base salary range for this position is $100,000 to $110,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
