About Family Haven

Family Haven is a nonprofit social services organization dedicated to building a community of happy, healthy individuals and families. With locations in Orem and Lehi, Utah, we provide a range of family support programs designed to strengthen relationships and promote long-term well-being.

Our Clinical team provides weekly therapy to children, adolescents, and families who have experienced stress, abuse, trauma, and other life challenges. As our services continue to grow, we are seeking a Client Account Assistant to support clients in navigating account, insurance, and payment questions with clarity, compassion, and respect.


Client Account Assistant

As a Client Account Assistant, you will work alongside our Administrative Assistants at the front desk, serving as the primary point of contact for clients with account-related questions. While our Administrative Assistants manage scheduling, phones, check-ins, and general office operations, you will focus on helping clients understand their accounts, process payments, and access available financial assistance resources.

This is a highly collaborative, client-facing position that emphasizes communication, empathy, and problem-solving. Rather than performing medical billing, you will help clients understand their options and connect them with the appropriate resources to ensure a positive experience.


What You’ll Do

  • Welcome clients and assist with account, insurance, and payment questions in a warm, respectful, and professional manner.
  • Process co-pays, program fees, and other client payments accurately and securely.
  • Help clients complete sliding-scale fee applications, grant funding requests, and other financial assistance paperwork.
  • Communicate with the billing team to help resolve insurance or account questions and keep clients informed throughout the process.
  • Work alongside Administrative Assistants to support client check-in and maintain a welcoming front desk environment.
  • Protect client confidentiality by following HIPAA requirements and verifying valid Releases of Information (ROI) before discussing account information.
  • Collaborate with clinicians and other team members to ensure clients receive accurate information and timely support.
  • Document client interactions accurately in the Electronic Health Record (EHR) system.


What We’re Looking For

  • Experience in customer service or working with people is helpful, but not required - we will train the right person.
  • This is an entry-level position. We are happy to train someone who is kind, dependable, and willing to learn.
  • Excellent communication and active listening skills, with the ability to explain information clearly and compassionately.
  • Kind, patient, and able to stay calm when helping people with questions.
  • Comfortable using Electronic Health Record (EHR) systems, office software, and basic computer applications.
  • Organized, dependable, and detail-oriented.
  • Current students in Social Work, Psychology, Healthcare Administration, Human Services, or related fields are encouraged to apply.
  • Availability Monday through Friday from 8:30am to 1:30pm. (approximately 23.45 hours per week).
