Job description

Who we are:

Real Geeks helps thousands of ambitious agents and small teams accelerate their business growth with innovative technology that helps them capture leads, nurture opportunities, and turn them into clients for life. We're a passionate team working remotely across the US and Canada, connected by a shared mission and drive to make our customers successful. Real Geeks is headquartered in Dallas, TX and owned by Fidelity National Financial (NYSE: FNF), along with CINC, SkySlope and other leading real estate technology companies.

What you'll do:

As the Business Operations Engineer at Real Geeks, you'll own the technical backbone of

our Sales, Service, and Marketing operations: the HubSpot and Aircall platform, the custom apps and integrations the team runs on, IT for the Business Operations function, and the day-to-day interface with our parent company (FNF) on compliance and vendor management. This is not a help desk role. You'll be as comfortable writing a HubSpot workflow action as ordering a laptop or driving a security remediation ticket to closure.

Specific responsibilities include, but are not limited to:

  • Maintain and extend existing custom HubSpot apps (i.e. Inactive Platforms, the dedupe tool, billing payments, KB redirects, etc) and build new HubSpot workflow custom-code actions in JavaScript or Python as the business needs automation.
  • Own the contact dedupe queue end-to-end and the HubSpot Support intake: triage, resolve, and push routine cases to self-serve and tiered routing.
  • Administer our dialer (currently Aircall): number provisioning, SMS enablement, call routing, and integration health.
  • Run IT onboarding and offboarding for every new hire and departure end-to-end: laptop provisioning and imaging, account and license setup, the Day 1 walkthrough, deactivations, record reassignment, hardware retrieval, and compliance signoff
  • Manage the laptop fleet for Sales, Service, Marketing, and Business Operations staff, and administer the SaaS stack (seat reconciliation, license true-ups, invoice review) across HubSpot, Aircall, Zoom, Slack, Stripe and other applications, as needed; handle MDM via Jamf and Kolide.
  • Own FNF compliance work: vulnerability (VIT) remediation via ServiceNow CMDB and Qualys, vendor TPRM/InfoSec assessments with FNF Corporate Counsel, IIQ provisioning, and the bi-weekly AP digest.
  • Administer Google Workspace (accounts, groups, shared drives, Vault) and coordinate with HR on hires and departures.
  • Document processes as you go. This role runs on a documentation foundation, not tribal knowledge.
  • Demonstrate a commitment to our core values

What You Offer:

  • 3-5 years in a business operations, IT, or systems administration role at a SaaS company.
  • HubSpot platform experience as an admin or developer: workflows, custom objects, properties, associations, the app marketplace, the HubSpot API, and custom-code workflow actions.
  • Coding skills in JavaScript or Python sufficient to build and maintain custom HubSpot actions and small integration services.
  • Experience administering a multi-app SaaS stack (Google Workspace, Slack, Zoom, Aircall, or equivalents) and comfort with Mac fleet management (Jamf, Kolide, or comparable MDM).
  • Demonstrated ability to work across a large parent-company environment: cross-org tickets, security assessments, and compliance workflows.
  • Strong written communication. This role corresponds with FNF counsel, AP, and security analysts in writing on a near-daily basis.
  • Bonus: Aircall, Stripe, or Zoom admin experience; real estate or PropTech background; SOC 2 or ISO 27001 exposure; AI-tools experience for ops use cases; Asana administration; and familiarity with FNF, CINC, or other large financial-services parent environments.

What Success Looks Like In This Role:

  • High satisfaction among internal stakeholders ("customers"): be widely recognized as a friendly, knowledgeable and responsive resource for Marketing, Sales and Client Services team members
  • HubSpot Support and dedupe queues run smoothly and onboarding/offboarding executes cleanly from the documented playbooks, without escalation to the Director.
  • The custom HubSpot apps and integrations stay healthy, and the business gets the new automation it asks for on a predictable cadence.
  • FNF compliance obligations (VIT remediation, vendor TPRM, and the bi-weekly AP digest) stay current with no missed deadlines.
  • The device fleet and SaaS stack stay reconciled: no surprise true-ups, no orphaned accounts, clean handoffs at every hire and departure.
  • Operational knowledge is captured in writing as the work happens, so the function never again depends on a single person's memory.

What We Offer:

  • Ownership of the technical core of Business Operations, with room to grow the surface area (custom HubSpot apps, automation, and AI-assisted operations) as fast as you can take it on.
  • Direct exposure to FNF and CINC, a large financial-services parent and sister-company ecosystem.
  • The nimbleness and daring of a successful startup with the security of a large, stable parent company
  • A positive, collaborative team culture where people really matter
  • A competitive compensation and benefits package, including health insurance, 401k, Employee Stock Purchase Plan options, and a Continuing Education benefit
  • The flexibility of a hybrid work environment, reporting to our office on Mockingbird in Dallas.
