Office & Data Entry Coordinator - Part-time

The Bedford-Stuyvesant Family Health Center (BSFHC) is a patient-centered, team based multi-specialty practice in central Brooklyn. BSFHC has been providing affordable, comprehensive, outpatient medical and dental services in an outpatient setting for over 40 years. As a Federally Qualified Health Center (FQHC), BSFHC serves all of the primary health care needs of families in the heart of North and Central Brooklyn. Our mission is to provide the most professional, courteous and highest quality health care, with dignity, to those we serve, especially the undeserved population, without regard for ability to pay.

We are seeking a Part-time Office & Data Entry Coordinator to ensure accurate, complete and timely input of clinical data in AIRS, eCW and the respective health medical records systems utilized by the organization. The position is also responsible for efficient office operations to assist with effective implementation of all clinical programs under the auspices of the HIV Prevention Program Manager.

Schedule: 3 days a week

Grant-funded: Contingent upon continuation of grant funding from year to year.

Duties and Responsibilities include but not limited to:

  • Transfer data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners.
  • Enters client data into AIRS System and eCW, as needed.
  • Collect/monitor encounter data forms for all programs.
  • Provides follow-up on missing or questionable data.
  • Complete and submit monthly reports to funding sources.
  • Support the eHIVQUAL data entry attends meeting and/or participates when required, supports the required Data to IPRO.
  • Provide office support to program manager and staff.
  • Assists in all administrative functions for Health Counselors, Peers and RAP Specialists i.e. making copies, order supplies and assist in making appointments for clients.
  • Coordinate and implements meetings and assist in QI Meetings, monthly meetings, CAB meetings and other meetings and events of the programs.
  • Assist with coordinating the Peer Program by completing time sheets and collect training certificates.
  • Verify data by comparing it to source documents.
  • Update existing data in all EMR systems.
  • Retrieve data from the database or electronic files as requested.
  • Perform regular backups to ensure data preservation.
  • Sort and organize paperwork after entering data to ensure data can be retrieved.
  • Order and ensure all staff obtain office supplies to effectively implement their job duties.
  • Assist Program Manager with duties as needed to ensure effective implementation of all programs.
  • Assist in coordinating team meeting and document meeting minutes

Education/Experience Required:

  • Experience working with people living with HIV/AIDS, the LGBTQ community, and communities of color. Ability to communicate with the most vulnerable populations in Brooklyn and wider New York City area.

Other Related Skills/Experience:

  • Knowledge of HIPAA rules in maintaining and ensuring patients/clients health information confidential
  • Bilingual English- Spanish and/or Creole..
  • Database management experience.
  • Must have demonstrated ability to work independently and document all work performed.
  • Have an understanding of the community's cultures and ethnicities and knowledge of community assets and resources necessary to take advantage of its opportunities and to respond positively to its challenges.
  • Knowledge of Brooklyn-based systems of care.

Hourly Rate: $20 and based on experience.
