Position Profile

The Receptionist (back office) will assist in the day-to-day support for the Supportive Care for Dementia Program. Facilitates exceptional patient experiences, starting with responding to telephone inquiries and managing incoming calls from patients, their families, and other individuals. Addresses requests, resolves concerns, and facilitates communication with other members of the healthcare team.

Responsibilities

  • Manages phone calls and email communication effectively and efficiently.
  • Provides administrative support for the Supportive Care for Dementia Program
  • Performs staff assignments/scheduling.
  • Performs accurate and timely data entry for the Supportive Care for Dementia Program
  • Provides quality clerical support.
  • Maintains professional knowledge and enhances job-related skills.
  • Adheres to high standards of personal and professional conduct.

Minimum Qualifications

  • High School diploma or equivalent experience.
  • Minimum two years multi-line phone experience
  • Previous healthcare experience preferred
  • Previous customer service experience required.
  • Previous administrative/project support experience.
  • Understanding or ability to learn about HOV’s mission, philosophies, services and programs.
  • Exceptional customer service skills to interact with others in a pleasant, helpful and cooperative manner. Clear speaking voice and skilled in projecting enthusiasm and warmth over the telephone.
  • Ability to manage time well, meet deadlines and perform assigned duties with attention to detail, speed, accuracy and follow-through with minimal supervision.
  • Ability to make decisions based upon information provided from different sources.  
  • Must possess strong interpersonal skills particularly telephone skills.
  • Must have demonstrated initiative, patience and flexibility. 
  • Must use tact and diplomacy in verbal and written communications.
  • Ability to use various types of office equipment including computer equipment, fax machine, copier, scanner and phone
