Job description

Position Summary

The Medical Receptionist serves as the first point of contact for patients. This role is responsible for providing exceptional customer service, managing front desk operations, and ensuring efficient patient flow while maintaining confidentiality and professionalism in a fast-paced clinical environment.

Key Responsibilities

Front Desk Operations

  • Greet and check in patients in a courteous and professional manner
  • Manage incoming calls, schedule appointments, and handle patient inquiries
  • Verify patient information, including demographics and insurance details
  • Collect co-pays, deductibles, and outstanding balances

Patient Scheduling & Coordination

  • Schedule new and follow-up appointments for pain management services
  • Coordinate procedures, injections, and follow-up visits
  • Confirm appointments and manage cancellations or rescheduling

Administrative Duties

  • Maintain accurate patient records in the electronic medical record (EMR) system
  • Scan, file, and organize medical documents
  • Ensure all required forms and consents are completed prior to visits
  • Handle referrals and prior authorizations when necessary

Insurance & Billing Support

  • Verify insurance coverage and benefits for pain management procedures
  • Assist with billing inquiries and communicate payment policies to patients
  • Ensure proper documentation for insurance purposes

Compliance & Confidentiality

  • Maintain HIPAA compliance and patient confidentiality at all times
  • Follow clinic policies and procedures related to pain management regulations

Qualifications

  • High school diploma or equivalent (required)
  • 1–3 years of experience in a medical office, preferably in pain management, orthopedics, or a specialty clinic
  • Knowledge of medical terminology and insurance processes
  • Experience with eClinicalWorks
  • Strong communication and organizational skills
  • Ability to multitask in a fast-paced environment

Preferred Skills

  • Familiarity with pain management procedures (e.g., injections, nerve blocks)
  • Experience obtaining prior authorizations for procedures
  • Bilingual (English/Spanish) is a plus
  • Strong customer service and conflict resolution skills

Work Environment

  • Fast-paced clinical setting with a high volume of patients

Pay Range & Schedule (Optional to Customize)

  • Pay: $18-$20 per hour (based on experience)
  • Schedule: Full-time, Monday–Friday
