Job description

Receptionist

Position Summary 

To serve internal and external customers by providing assistance and maintaining good public relations. 

Essential Functions 

  • Assists customers, the general public and other employees by maintaining good public relations by answering the telephone and greeting guests in a professional manner; gathers information from customers and visitors and directs them to the appropriate party according to established standards; issues visitor badges. 
  • Distributes all commission checks and accounts payable checks according to established company standards; matches any correspondence with checks and ensures correspondence matches checks. 
  • Adheres to all company policies, standards and procedures (e.g. OSHA and safety requirements, Federal/State/Local Laws). 
  • Communicates with customers and other employees regarding requests for information; supervisor and management team regarding any problems or issues (e.g. employee concerns, customer and visitor issues). 
  • Provides assistance to Accounts Payable Associate by opening and date stamping all incoming Accounts Payable mail; retrieves and prints invoices from Accounts Payable email account; forwards all invoices to Accounts Payable Associate for processing. 
  • Prepares monthly journal entries for scanning. 
  • Completes time-off requests, departmental paid time off forms, mileage reports, barrel reports and other required paperwork and reports according to established standards. 
  • Maintains confidentiality of customer information and other sensitive and confidential information. 
  • Works assigned schedule, exhibits regular and predictable attendance and works overtime as needed to meet workload demands. Performs other related duties as required.

Education

High School or GED required

Experience

0 - 1 years of receptionist experience required; 6-12 months of previous accounting experience strongly preferred.

 

Computer Skills 

Proficiency in the Microsoft Office Suite and VIP. 

Other Requirements 

Knowledge of: Microsoft Office Suite; beverage industry; grocery and/or retail sales industry. Skill in: internal and external customer service. Ability to: work quickly, efficiently and independently; multi-task; be detail oriented; meet deadlines in a pressured situation; communicate effectively with customers and other employees and develop good working relationships; adapt to change; solve problems; operate a computer, copier, printer, fax machine; problem solve; read and write.
