Job Overview
We are seeking a proactive and detail-oriented Project Assistant to join our dynamic team. In this vital role, you will assist with project timelines, help implement team efforts, and ensure seamless communication across departments. Your organizational skills and ability to manage multiple tasks will drive project success from inception to completion. This position offers an exciting opportunity to contribute to impactful projects while honing your administrative and office expertise in a fast-paced environment.

Duties

  • Assist with scheduling jobs, inspections and crew assignments.
  • Enter and update project information along with scheduling in company systems.
  • Organize and maintain project files.
  • Support Customer communication (Calls, emails, scheduling, hotels, updates)
  • Track job progress and reports updated to the Project Managers.
  • Help prepare job packets forms and closeout documentation.
  • Support invoicing and basic administrative tasks as needed.
  • Maintain organized records for lead-safe and weatherization compliance.
  • Travel is required to travel to job sites.

Experience

  • Proven experience in office assistant or administrative support roles, ideally within a healthcare or professional services setting such as construction.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry systems.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Demonstrated customer service skills with experience handling multi-line phone systems and phone etiquette.
  • Bilingual abilities are highly desirable to support diverse client needs, but not necessary.
  • Previous clerical experience including calendar management is preferred.
  • Familiarity with office equipment such as multi-line phones, and printer, computers.
