Purpose of Department:
The Department of Finance and Administration is responsible for providing exceptional service and oversight of accounting; purchasing; contracting; budget development; cost controls; financial modeling and forecasting; investment management; facilities; public safety; information technology; human resources; as well as bookstore and food services outsourcing.
Summary of Position:
The Administrative Assistant and Internal Events Coordinator is an essential member of the Finance and Administration team, and is responsible for providing administrative support to the Vice President of Administration/CFO. The Administrative Assistant performs duties supporting the Vice President and the division as a whole and supports administrative efforts related to Board of Trustees functions and meetings. Additionally, this position performs secondary duties related to managing the University's internal events calendar and spaces. This position produces correspondence, enters invoices, manages files, handles mail, manages calendars, and orders supplies and materials.
Essential duties and responsibilities:
Primary: Administrative Support
  • Supports the Vice President for Administration/CFO in all office/administrative activities
  • Prepares financial transactions (invoices, purchase orders, check requests), makes purchases, and reconciles credit card statements for expenses incurred by the CFO.
  • Maintains overall office environment for all offices under the CFO's purview, including ordering supplies and ensuring stock of office materials.
  • Drafts emails and correspondence on behalf of the CFO
  • Serves as "back up" to the Executive Assistant to the President for taking minutes at Board of Trustees and other meetings.
  • Manages the CFO's calendar by scheduling appointments and meetings.
  • Organizes and manages files.
  • Supports the CFO in creating materials for Board and other presentations.
  • Builds and maintains positive working relationships with team members, internal customers, and external vendors
  • Coordinates travel for the CFO as needed

Secondary: Internal Events
  • Manages the "Active Calendar" system which includes room bookings (non-classroom) and the public-facing calendar on the University's website
  • Serve as a liaison between departments hosting internal events and dining services, facilities, public safety, and IT in coordinating event setup and logistics
  • Assist the Academic Affairs Operations Specialist in planning the University's annual Commencement ceremony
  • Collaborate with other campus partners who manage internal and external calendars including the Director of External Relations and Events (external events) and the Academic Affairs Operations Specialist (classroom and academic calendar)

Minimum Qualifications:
Bachelor's degree in related field plus two years of relevant experience or equivalent combination of education and experience. Must have strong computer skills including Microsoft Office Suite (Word, Excel, PowerPoint); excellent written and verbal communication skills; strong organization skills with extreme attention to detail; ability to exercise extreme confidentiality and integrity; and a service-oriented attitude. Equivalent combinations of experience and education may be considered.
