Position Overview
Pathways to Life, Inc. is seeking a highly organizedand professional Executive Assistant to provide direct administrative supportto the Chief Executive Officer. This position plays a critical role in managingthe daily operations of the CEO's office, coordinating executivecommunications, and ensuring the CEO's time and priorities are effectivelysupported.
The ideal candidate isdetail-oriented, highly organized, and able to manage multiple priorities whilemaintaining strict confidentiality. This role requires strong communicationskills, professionalism, and the ability to work independently in a fast-pacedenvironment.
Key Responsibilities
- Manage and coordinate the CEO'scalendar, appointments, and meeting schedule to ensure alignment withorganizational priorities.
- Screen, prioritize, and managecommunications directed to the CEO, including emails, calls, and correspondence.
- Prepare reports, presentations,briefing materials, and executive correspondence for the CEO.
- Coordinate travel arrangementsand itineraries for the CEO as needed.
- Prepare meeting agendas andmaterials to ensure the CEO is well prepared for meetings.
- Maintain accurate records anddocumentation related to meetings and executive activities.
- Track action items and follow-uptasks resulting from CEO meetings.
- Maintain organized executivefiling systems and documentation.
- Track deadlines, deliverables,and commitments assigned to the CEO.
- Provide administrativecoordination for special projects and initiatives led by the CEO.
Qualifications
- Bachelor's degree in BusinessAdministration, Healthcare Administration, Public Administration, or a relatedfield preferred.
- Minimum of 3 to 5 years ofexecutive administrative support experience, preferably supporting a ChiefExecutive Officer or senior executive.
- Experience working in healthcare,behavioral health, or nonprofit organizations is preferred.
Skills and Abilities
- Excellent organizational and timemanagement skills.
- Strong written and verbalcommunication skills.
- Ability to maintain strictconfidentiality with sensitive information.
- Ability to prioritize tasks andmanage multiple responsibilities in a fast-paced environment.
- Strong attention to detail andproblem-solving abilities.
- Proficiency with Microsoft Officeor Google Workspace platforms.
- Ability to work independentlywhile supporting executive leadership priorities.
