  • Agir comme point de contact principal pour les locataires en l'absence du gestionnaire immobilier, traiter rapidement les demandes et plaintes, coordonner les emmenagements et demenagements incluant la gestion des autorisations d'acces et certificats d'assurance

  • Planifier et organiser des activites de reseautage et d'engagement communautaire, maintenir a jour les contacts pour les sondages annuels et assurer les suivis pour enrichir l'experience locataire

  • Assister le gestionnaire immobilier dans la gestion quotidienne des operations, inspecter les aires communes (salles de conference, gym), verifier le bon etat de fonctionnement des equipements et communiquer toute anomalie a l'equipe d'exploitation

  • Participer a l'elaboration du budget annuel et du plan d'immobilisations, reviser et soumettre les comptes fournisseurs avec codage precis, appuyer la perception des loyers et les recouvrements conformement aux baux

  • Gerer l'ensemble du cycle de stationnement incluant la preparation et le suivi des baux, la realisation de l'etude de marche annuelle pour etablir les tarifs, et le maintien de la conformite aux ratios exiges

  • Collaborer avec les fournisseurs d'entretien menager, communiquer les changements d'occupation des espaces, preparer les contrats de service et gerer le calendrier et paiement des taxes foncieres

  • Preparer les rapports, demandes d'achat et trousses d'information pour les locataires, assurer la gestion des decorations des halls d'entree pour le temps des Fetes, et maintenir les dossiers conformement aux exigences d'audit de JLL

Qualifications requises :

  • Diplome d'etudes collegiales (DEC) en techniques de comptabilite et de gestion, administration ou domaine connexe

  • 3 a 5 ans d'experience en gestion de proprietes commerciales et en relations avec les locataires

  • Maitrise de la suite MS Office, YARDI, PRISM et DocuSign/Adobe Acrobat Sign

  • Notions de comptabilite et analyse financiere

  • Bilinguisme obligatoire (francais et anglais) a l'oral et a l'ecrit, avec habilete en redaction pour les interactions avec les partenaires externes hors Quebec (fournisseurs, cabinets juridiques, institutions financieres)

What this job involves:

As an Assistant Property Manager, you'll play an essential role in the daily management of commercial properties, supporting the Property Manager to ensure an exceptional tenant experience. This dynamic position combines tenant relations, operational management, financial administration, and community event coordination. You'll collaborate closely with the operations team to maintain the highest maintenance standards while managing budgetary and administrative aspects. This opportunity allows you to demonstrate your leadership by embodying JLL's core values: communication, collaboration, and trust. In an environment where every detail matters, your direct contribution influences tenant satisfaction and the operational success of properties under your responsibility.

What your day-to-day will look like:

  • Act as primary point of contact for tenants in the absence of the Property Manager, address requests and complaints promptly, coordinate move-ins and move-outs including management of access authorizations and certificates of insurance

  • Plan and organize networking activities and community engagement events, maintain updated contact lists for annual surveys and ensure follow-ups to enhance tenant experience

  • Assist the Property Manager in daily operational management, inspect common areas (conference rooms, gym), verify proper functioning of equipment and communicate any anomalies to the operations team

  • Participate in the preparation of the annual budget and capital plan, review and submit accounts payable with accurate coding, support rent collection and recoveries in accordance with lease agreements

  • Manage the complete parking cycle including preparation and follow-up of leases, conduct annual market study to establish rates, and maintain compliance with required parking ratios

  • Collaborate with janitorial service providers, communicate changes in space occupancy, prepare service contracts and manage property tax calendar and payments

  • Prepare reports, purchase requisitions and tenant information packages, manage entrance lobby decorations for the holiday season, and maintain files in accordance with JLL audit requirements

Required Qualifications:

  • College Diploma (DEC) in Accounting and Management Techniques, Administration, or related field

  • 3 to 5 years of experience in commercial property management and tenant relations

  • Proficiency in MS Office Suite, Yardi, Prism, and DocuSign/Adobe Acrobat Sign

  • Knowledge of accounting and financial analysis

  • Bilingualism mandatory (French and English) both oral and written, with strong writing skills for interactions with external partners outside Quebec (suppliers, law firms, financial institutions)

Preferred Qualifications:

  • RPA or CPM certification (in progress, an asset)

  • Knowledge of Procore

  • Excellence in customer service with demonstrated strong interpersonal skills

  • Proven ability to prioritize and manage multiple files simultaneously in a dynamic environment

  • Strong analytical skills and complex problem-solving abilities
