Job description

PROJECT MANAGER

We're looking for a Project Manager who thrives on turning complex projects into smooth, on-time, on-budget results. If you enjoy being the person who keeps every moving piece connected, from the client relationship down to the last fixture on site, this role was built for you. You'll take ownership of our client's projects from the moment they're awarded through final closeout, acting as the glue between clients, sales, engineering, procurement, installation, commissioning, and finance. You'll also guide and support Project Coordinators, helping the whole team deliver work that's on time, on budget, and to spec.

Key Responsibilities
  • Take ownership of the master project schedule, spotting issues early, setting priorities, and coordinating across sales, design, estimating, procurement, installation, commissioning, client services, and finance
  • Serve as the main point of contact linking clients, sales, operations, finance, and leadership
  • Build and maintain detailed project timelines using Excel or dedicated software, adjusting dates as real world issues come up and keeping the project on track
  • Spot potential risks early and put plans in place to manage them before they become problems
  • Review contracts, proposals, RFPs, and budgets closely to confirm delivery matches what was promised
  • Plan and run internal and client meetings, including kickoffs, progress check ins, closeouts, and postmortems
  • Field client questions on status, timelines, invoicing, and service needs, keeping satisfaction high throughout
  • Draft and oversee purchase orders and contract paperwork with Project Coordinators and the Procurement team
  • Work with the engineering team to coordinate custom shop drawings and photometric reports based on client requirements
  • Liaise with third party vendors and partners, including coordinating on site commissioning
  • Manage change requests with clients, subcontractors, and suppliers, keeping accurate change order logs and documentation
  • Track and report on material arrivals to job sites, keeping schedules aligned
  • Resolve on site installation issues quickly, whether that's a missed fixture, a defective product, or subpar work
  • Maintain and reconcile project budgets, investigate variances, and support accounting with what's needed for invoicing and payment sign off
  • Help build and refine SOPs and templates, contributing ideas as the company continues to grow
Qualifications
  • 5+ years of project management experience, ideally in lighting, construction, or manufacturing
  • Track record managing multiple projects, schedules, and budgets simultaneously from start to finish
  • Comfortable reading and working through contracts, proposals, RFPs, specs, and change orders
  • Strong organizational skills with the ability to prioritize and juggle competing demands
  • Clear communicator with solid stakeholder management and customer service instincts
  • Familiarity with project management tools such as Asana or Monday.com, along with Microsoft Office and Excel
  • Detail oriented, analytical, and proactive when solving problems
  • Bilingual in English and French is an asset
