We are seeking a reliable, organized Administrative Assistant / Project Coordinator to join our growing, family-owned upholstery and drapery business in Gaithersburg, Maryland.
The ideal candidate is detail-oriented, dependable, comfortable communicating with customers and workroom staff, and able to manage multiple priorities with limited supervision. This position supports daily office operations and helps coordinate customer projects from the initial inquiry through completion.
Responsibilities

  •  Answer phones and emails and provide professional customer service 
  •  Prepare estimates, proposals, invoices, and customer correspondence 
  •  Coordinate appointments, project schedules, and deliveries 
  •  Communicate project details with customers and workroom employees 
  •  Maintain customer accounts, records, and project documentation 
  •  Process payments and assist with accounts receivable 
  •  Order fabrics, materials, and office supplies 
  •  Process online orders 
  •  Maintain fabric sample books 
  •  Receive and send packages 
  •  Assist coworkers as needed 
Qualifications

  •  Previous experience in office administration, customer service, or project coordination 
  •  Working knowledge of QuickBooks and Microsoft Office 
  •  Excellent written and verbal communication skills 
  •  Strong organizational skills and attention to detail 
  •  Ability to prioritize assignments and work independently 
  •  Experience with estimates, invoicing, or bookkeeping is preferred 
  •  Spanish-speaking ability is a plus
