Job description

Position Overview
The Project Analyst works under the direction of the PMO leadership to support the Organization’s project delivery. The Project Analyst supports Company operations and project execution by performing and implementing best practices, processes, and policies for the creation, maintenance, auditing, and reporting of project related activities throughout the project lifecycle. The Project Analyst works in conjunction with the Organization Manager, Project Manager and project personnel across several business units to track, forecast, and report on project progress. The Project Analyst operates with limited supervision and possesses a broad working knowledge of the project delivery components of the business system to perform a variety of tasks. All activities and initiatives should directly align with and support the company mission and goals.
Primary Job Functions
Project Support
  • Accurately enter and maintain project related data in applications, tools and related business systems.
  • Ensure accurate project creation and maintenance in Business System.
  • Generate project reports as required to support project needs.
  • Track and report on project progress including metrics and challenges.
  • Assist with the development of workflows, reports, and analytics related to projects.
  • Assist with performing research and analysis to support the planning and execution of projects.
  • Identify the source and integrity of data for projects in as required.
  • Perform analysis on project financials (i.e. cost vs. bill, burn rates, margin gain/erosion, and forecast projections).
  • Work with Project Managers to maintain accurate labor forecasts (plans) for projects.
  • Work with Project Managers to ensure key project deliverables and timeframes are met.
  • Support project invoicing activities including making changes and corrections under Organization direction.
  • Ensure invoicing processes are performed consistently and accurately and verify compliance with client invoicing requirements.
  • Maintain project folder structure and on-going project documentation. Identify missing artifacts and ensure project artifacts are properly stored.
  • Verify projects are properly setup and audit new projects to ensure compliance (proper folder set up, artifacts, etc.).
  • Audit / verify project artifacts are properly stored.
  • Audit / verify project closeout documents are complete.
  • Review and approve vendor purchase orders per authorized limits.
  • Support internal project status meetings by:
    • Maintaining and updating action items lists to drive projects through project life cycle.
    • Updating project milestone dates based on schedule changes.
    • Proactively identify upcoming deliverables per project schedule and maintain billing milestones.
    • Tracking and monitoring client purchase order status and remaining funds.
    • Investigating and providing answers to questions about costs and revenues associated with projects.
Analysis
  • Assist with the enhancement of project reports and analytics using BI Tools and business system software.
  • Utilize project reports and BI analytics to verify and analyze data to support the successful execution of projects and company operational needs.
  • Validate accuracy of forecasts to actuals overtime to improve forecasting capabilities.
Process Improvement
  • Identify and escalate risk associated with project execution through the monitoring of compliance to processes, SOP’s and best practices.
  • Contribute to and support process improvement initiatives for project administration and management.
  • Responsible for analyzing and understanding project implementation processes and procedures and work towards developing new, more effective and efficient methods to improve current processes.
  • Continuously analyze data and make recommendations to implement or improve initiatives and processes.
Secondary Job Functions
  • Mentor and assist Project Analyst I and Project Operations Coordinator as appropriate.
  • Assist with performing research to support the planning and execution of projects.

Requirements
  • Bachelor’s Degree in Business and 4 years of experience, or a minimum of 8 years’ experience in project administration controls
  • Working knowledge of project execution life-cycle, financials and metrics
  • Proficient in Microsoft Office suite including OneDrive, Teams, and SharePoint
  • Advanced Microsoft Excel experience including pivot tables, advanced Excel functions (lookups, references, etc.).
  • Microsoft Project experience including ability to create, modify, and maintain schedules, as well as perform basic reporting
  • Experience with Business Systems and ERPs.
  • Ability to multitask initiatives, goals and deadlines
  • Strong analytical and problem-solving skills
  • Excellent research and presentation skills
  • Valid driver’s license
  • Reliable personal transportation with valid liability insurance
  • Fluent in verbal and written English
  • Available for after-hours, weekends and holidays
