Description
Spooner Health is seeking a highly organized and professional Administrative Assistant to support our Administration team. This position provides administrative and secretarial support to senior leaders and department directors while serving as a liaison among administration, staff, board members, and community partners. The Administrative Assistant plays an important role in coordinating communications, board activities, special events, and organizational projects that contribute to an exceptional workplace culture and efficient operations.
Requirements
• Provide administrative support including correspondence, presentations, newsletters, meeting materials, phone coverage, and document preparation.
• Coordinate Board of Directors meetings, including agendas, packets, notices, and meeting minutes.
• Assist employees, visitors, and community members by responding to inquiries and directing requests appropriately.
• Maintain organizational resources, including the employee intranet, databases, calendars, and contact lists.
• Coordinate conference registrations, travel arrangements, job shadowing experiences, and special projects.
• Plan and support employee recognition programs, fundraising initiatives, holiday events, and other organizational activities.
• Coordinate meeting space, event logistics, catering arrangements, and branded merchandise distribution.
• Order office supplies and other administrative materials as needed.
• Demonstrate professionalism, confidentiality, flexibility, and exceptional customer service while managing multiple priorities.
Education: High school diploma required.
Experience: Two years of executive or administrative support experience preferred.
Skills: Proficiency in Microsoft Office applications, email, internet-based systems, and standard office equipment, strong organizational, communication, and interpersonal skills. Ability to exercise sound judgment, maintain confidentiality, and adapt to changing priorities.
