EMS Timekeeper Job Description
Job Title: EMS Timekeeper / Payroll Timecard Coordinator
Department: Operations / Payroll Support
Reports To: Operations Manager, Payroll Manager, or Human Resources Director
Position Summary
The EMS Timekeeper is responsible for reviewing, auditing, and approving employee timecards
to ensure accurate payroll processing. This position works closely with field supervisors,
scheduling staff, payroll personnel, and employees to verify hours worked, adjust pay codes,
reconcile schedule discrepancies, and ensure compliance with company policies, labor
regulations, and collective bargaining agreements when applicable.
Essential Duties and Responsibilities
 Review and audit employee timecards for accuracy, completeness, and compliance with
company policies.
 Verify scheduled shifts against actual hours worked using scheduling and timekeeping
systems.
 Adjust pay codes as necessary for overtime, training, PTO, sick leave, bereavement
leave, jury duty, shift differentials, and other payroll-related items.
 Correct scheduling discrepancies and ensure timecards accurately reflect approved work
schedules.
 Research and resolve missing punches, attendance exceptions, and payroll discrepancies.
 Communicate with employees, supervisors, and managers regarding timekeeping issues
and required corrections.
 Ensure overtime calculations comply with federal, state, local, and organizational
requirements.
 Maintain accurate records and documentation supporting payroll adjustments and
approvals.
 Monitor payroll deadlines and ensure all timecards are reviewed and approved within
established timelines.
 Assist with payroll audits and provide reports related to attendance, labor utilization, and
payroll accuracy.
 Support compliance with labor agreements, company policies, Fair Labor Standards Act
(FLSA), and applicable regulations.
 Generate and distribute timekeeping reports as requested by management.
 Identify trends or recurring timekeeping issues and recommend process improvements.
