Job description

 Top law firm has an immediate need for a Front Desk Receptionist in their Hackensack, NJ office. This is an important role for the firm as you will be the first person clients and vistors will meet when they arrive. Candidate should be friendly and have strong computer skills. This is a great opportunity to get law firm experience and work directly with attorneys. This is a full-time 9:00 am- 5:00 pm in office position with full benefits.

RESPONSIBILITIES:

  • Greet clients, visitors, and staff with professionalism and courtesy; provide basic information about the firm as needed.
  • Answer and direct incoming phone calls on a multi-line phone system.
  • Process incoming and outgoing mail, FedEx packages, and NJ Lawyer Service deliveries, including preparing FedEx labels, scanning, distributing mail, and handling end of day regular mail delivery.
  • Conduct monthly inventory of office and kitchen supplies and provide a restocking spreadsheet list to the manager.
  • Assist with scheduling client appointments, meetings, and booking conference rooms; schedule and coordinate courier services as needed.
  • Handle copying, scanning, and faxing; ensure copiers are stocked with paper each morning and function properly; report any issues to the Administrative Manager.
  • Keep front area clean and organized; maintain visitors/packages logbooks; maintain a clean, organized, and well-stocked kitchen area.
  • Work with Attorneys and Administrative Manager to plan event lunches.
  • Set up and break down conference rooms for meetings, depositions, or firm events.
  • Provide general administrative support to attorneys, paralegals, and legal assistants.
  • Perform other miscellaneous office, administrative, and clerical tasks as assigned.

REQUIREMENTS:

  • Prior law firm experience a big plus
  • Working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Time management skills
  • Strong communication skills and a willingness to learn new tasks
  • Excellent attention to detail
  • Must be reliable, accurate, able to multi-task and have a cooperative work ethic
  • Ability to manage multiple assignments and meet client deadlines is essential
  • Ability to work independently while providing support to a team
  • Confidentiality and prioritize workload
  • Ability to lift 20 lbs.
