Key Responsibilities

Executive Leadership Support

• Manage complex calendars for the CEO, CFO, and CHRO, including scheduling, prioritization, and conflict resolution.

• Coordinate executive meetings, prepare agendas, and document action items.

• Arrange travel, accommodations, and itineraries.

• Draft, edit, and manage executive communications and correspondence.

• Serve as a liaison between executives and internal/external stakeholders.


Financial & Operational Support

• Assist with preparation of financial reports, presentations, and executive dashboards.

• Coordinate meetings with accounting, AP/AR, controller, and operational teams.

• Maintain organized financial documentation and confidential records.

• Support budgeting cycles, reporting deadlines, and compliance documentation.


Human Resources & Organizational Support

• Support HR leadership with workforce planning, organizational updates, and leadership communications.

• Coordinate executive-level recruiting logistics and onboarding activities.

• Assist with preparation of HR reports, policy updates, and leadership presentations.

• Maintain strict confidentiality regarding personnel matters.


Administrative & Organizational Management

• Maintain executive files and digital records with strong document control.

• Manage contracts, vendor documentation, and corporate records.

• Improve internal processes to enhance executive efficiency and workflow.


Qualifications

• 5+ years of experience supporting multiple C-level executives.

• Experience in finance, HR, or operations environments strongly preferred.

• Strong understanding of executive workflows and corporate governance practices.

• Excellent organizational and project coordination skills.

• High emotional intelligence and professional judgment.

• Advanced proficiency in Microsoft Office or Google Workspace.

• Ability to manage confidential and sensitive information with discretion.
