Asset Coordinator
Position Summary
The Asset Coordinator plays a critical role in supporting day-to-day fleet operations by ensuring accurate tracking, availability, and utilization of rental assets. This role is less about owning fleet strategy and more about matching equipment supply to customer demand and maintaining accurate, real-time asset status and location data within Microsoft Dynamics NAV (or similar ERP systems).
The position serves as a central coordination point between operations, dispatch, sales, and field teams to ensure equipment is properly allocated, tracked, and ready to meet customer requirements.
Key Responsibilities
• Equipment Allocation & Coordination
o Match available equipment to customer orders and operational needs
o Coordinate movement of assets between yards, job sites, and branches
o Support dispatch and field teams to ensure timely delivery and pickup of equipment
• Asset Tracking & Data Integrity
o Maintain accurate asset status, condition, and location data in NAV
o Ensure all asset transactions (transfers, rentals, returns, maintenance status) are recorded in real time
o Audit and reconcile asset records to ensure system accuracy vs. physical inventory
• Utilization & Availability Monitoring
o Monitor equipment availability and utilization levels
o Identify idle or underutilized assets and recommend redeployment
o Support operational decisions with accurate asset visibility
• Cross-Functional Collaboration
o Partner with sales and operations teams to fulfill customer equipment needs
o Communicate asset availability and constraints clearly to internal stakeholders
o Work with maintenance teams to track equipment status and readiness
• Process Improvement
o Identify gaps in asset tracking, data entry, or system processes
o Support continuous improvement efforts to enhance data accuracy and operational efficiency
Qualifications
• Education & Experience
o High school diploma required; associate or bachelor's degree preferred
o 2-5 years of experience in asset management, fleet coordination, equipment rental, logistics, or related field
• Technical Skills
o Experience with Microsoft Dynamics NAV (or similar ERP systems) highly preferred
o Strong data entry accuracy and system navigation skills
o Proficiency in Microsoft Excel and standard business applications
• Core Competencies
