Job description

Noorda College of Osteopathic Medicine is seeking a highly organized and service-oriented Admissions Operations Coordinator to support the daily operations of our medical school admissions process! This role plays a vital part in ensuring a seamless experience for applicants—from their first inquiry to enrollment—by managing applicant data, coordinating key admissions milestones, and providing top-notch communication and support!

Key Responsibilities

  • Serve as a primary point of contact for prospective students—responding to inquiries with professionalism and care 
  • Maintain calendars, meetings, and communications for the Admissions team 
  • Track application progress, review documentation, and ensure compliance with admissions requirements 
  • Coordinate interview logistics including scheduling, communications, and materials 
  • Manage data entry and accuracy across admissions systems 
  • Monitor enrollment documents, prerequisite completion, and onboarding steps 
  • Assist in planning and executing admissions events (virtual and in-person) 
  • Support application scoring workflows and track important deadlines 
  • Collaborate with internal teams and stakeholders to ensure efficient processes 
  • Contribute to ongoing cycle planning, reporting, and process improvements 

Qualitifiations
Minimum Qualifications:

  • Bachelor’s degree or equivalent work experience 
  • Strong organizational skills and attention to detail 
  • Excellent communication and interpersonal abilities 
  • Customer service experience and professional demeanor 
  • Proficiency in Microsoft Office and/or Google Workspace 
  • Ability to manage sensitive information with discretion 
  • Experience with data systems and tracking tools 
  • Comfortable working both independently and collaboratively 

Preferred Qualifications: 

  • Previous experience in higher or medical education admissions 
  • Event planning or coordination experience 
  • Familiarity with CRM systems, Box, Smartsheet, or Canva 

Physical & Scheduling Requirements 

  • Able to lift up to 25 lbs. for event setup/teardown
  • Availability for occasional evening or weekend events
  • Ability to sit for extended periods and work at a computer 
  • On-site support during events requiring walking and standing
