We are looking for a detail-oriented and proactive Administrative Manager for our office located in Fontana, CA.
Responsibilities:
  • Oversee daily administrative operations across offices and warehouse sites.
  • Develop and implement administrative policies and procedures to improve operational efficiency.
  • Coordinate internal administrative support, including office management, travel arrangements, and executive support.
  • Manage office and warehouse facility administration, including maintenance, repairs, and service contracts.
  • Coordinate with landlords, property managers, and government agencies regarding facility compliance and permits.
  • Ensure a safe, organized, and functional work environment.
  • Manage procurement of office supplies, warehouse consumables, and operational materials.
  • Maintain relationships with vendors and service providers and negotiate contracts when necessary.
  • Monitor purchasing processes and ensure cost control.
  • Coordinate administrative expenses, vendor payments, and invoice tracking.
  • Assist finance teams with documentation and expense management related to administrative operations.
  • Ensure compliance with local regulatory requirements such as business licenses, permits, and operational documentation.
  • Maintain administrative records and documentation for audits and internal reporting.
  • Supervise and support administrative staff.
  • Assign responsibilities, monitor performance, and provide training when necessary.
  • Work closely with HR, Operations, Finance, and Warehouse Management teams to support business operations.
  • Assist with company projects related to office setup, warehouse operations, and organizational initiatives.

Qualifications:
  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • 3-5+ years of administrative management or office operations experience.
  • Experience managing vendors, facilities, and administrative budgets.
  • Strong organizational and problem-solving skills.
  • Excellent communication and coordination abilities.
  • Proficiency in Microsoft Office or similar office management systems.
