Job description

Administrative Assistant

Hire Up Staffing is seeking an Administrative Assistant for an immediate opening in Baltimore, Maryland!

Location: Baltimore, MD

Schedule: Mondayโ€“Friday, 8:00 AMโ€“5:00 PM

Pay: $25-$28 Depends on experience

Responsibilities:

  • Process and organize purchase orders received through an online portal
  • Pull and print purchase orders from the portal
  • Convert PDF purchase orders into Excel files and format them for processing
  • Split purchase orders into individual Excel files for BOM documentation
  • Research individual lots, colors, and related order information
  • Pull and update color information for purchase orders
  • Maintain and update the main colors spreadsheet
  • Review revisions to determine whether they are new or active
  • Research revisions using internal systems and notify the appropriate team members of active revisions
  • Prepare purchase orders for electronic processing
  • Date stamp and enter purchase orders into Excel for Accounting and Credit
  • Date stamp, file, and email add orders and service orders to the appropriate department
  • Assist with billing-related administrative functions
  • Serve as a liaison between the Credit Department and Sales team to help resolve short pays and over-billings
  • Maintain accurate records and organized files
  • Provide general administrative support as needed

Requirements:

  • Advanced Excel knowledge is required
  • Strong attention to detail and accuracy
  • Highly organized with excellent time-management skills
  • Proficient with Microsoft Office
  • Comfortable working with spreadsheets and large amounts of data
  • Ability to work independently and meet deadlines
  • Strong written and verbal communication skills
  • Adobe Acrobat Pro experience is preferred
  • Previous administrative, accounting, purchasing, or order-processing experience is a plus

This is an onsite position and the company is looking for someone who can start ASAP.
