Job description

Title: Administrative Assistant - Operations
Position Description: Full-Time, Benefit Eligible
Schedule: Day Shift, No Weekends
Pay Range: $25.00 - $26.00 per hour
Objective:
The Operations Administrative Assistant manages comprehensive support functions for the Franchising Support and Operations department, including document management, event coordination, project assistance, and other administrative tasks. This role requires strong organizational skills, attention to detail, multitasking abilities, and proficiency in Microsoft Suite and productivity software. The position demands strong independent work habits, a process-oriented approach, and effective prioritization to meet departmental objectives.
Key Responsibilities:
  • Provide high-level administrative support to ensure smooth operations within the office.
  • Payer Portal Management- Manage payer portals to ensure the Franchisee's documentation is updated correctly and current.
  • Manage and maintain accurate franchising documentation as in operations manual and franchising support materials.
  • Lead coordinator of all operations events, including Top Performers, President Club, and other events as needed.
  • Effectively utilizing reporting features in franchising support software to aid in data driven decisions to improve operations.
  • Organize and maintain third-party payer documents as well as handle third-party payer management using FranConnect software.
  • Manage the Synapticure Referral platform.
  • Reporting and Compliance- Weekly running of various reports. Update Medicaid waiver books to ensure compliance with state regulations as well as maintain and update State Licensure requirements for Franchisees.
  • Caregiver Recruitment Support- Verification of caregiver job advertisements in our applicant tracking system. New advertisements need to be refreshed frequently, aiding in a manual upload process.
  • Coordinate setting up new franchise owner accounts in Indeed with our Senior Helpers Indeed Representative.
  • General Administrative Duties- Assist with other administrative tasks for our Franchising Support department and franchise owners.

Qualifications:
  • High school diploma or equivalent; Associate degree preferred.
  • A minimum of two years' experience in an office setting required.
  • Experience in healthcare or senior care administration is a plus.
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and efficiently use specialized software (e.g., FranConnect)
  • Working knowledge of office equipment (e.g. printers, fax machines, etc.)
  • Exceptional attention to detail and analytical abilities are a must.
  • Excellent interpersonal and communication skills.
  • Ability to effectively prioritize and execute tasks.
  • Strong interpersonal and oral communication skills.
  • Adept at reading, writing, and interpreting technical documentation/manuals.
  • Positive attitude and strong work ethic.
  • Keen attention to detail, and organizations skills.
  • Ability to multitask while working in a fast-paced environment
  • Skilled at working within a team-oriented, collaborative environment.

Work Conditions:
