Location: Shelby & Howell, MI (Hybrid between Service Centers)
Schedule: Split time between Shelby and Howell Service Centers (Week 1: 2 days Shelby / 3 days Howell; Week 2: 3 days Shelby / 2 days Howell)

Job Summary

We are seeking a detail-oriented Support Specialist to provide administrative support and ensure the smooth day-to-day operations of our service centers. This role is responsible for coordinating administrative activities, managing documentation, supporting employee time reporting, and assisting management with various operational tasks. The ideal candidate is organized, dependable, and able to maintain confidentiality while working in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to managers and staff.
  • Manage calendars, schedule meetings, and coordinate travel arrangements as needed.
  • Prepare, organize, and maintain reports, presentations, and business documents.
  • Handle incoming phone calls, emails, and correspondence professionally.
  • Maintain office supplies and coordinate procurement activities.
  • Organize and maintain accurate records and filing systems.

Time Reporting & Payroll Support

  • Collect, review, and validate employee time entries for accuracy and compliance.
  • Enter and submit employee hours into the company's timekeeping system.
  • Investigate and resolve timekeeping discrepancies with supervisors and employees.
  • Generate weekly and monthly time reports for payroll and management.
  • Ensure timely submission of employee time records to support payroll processing.

Team Support

  • Provide administrative assistance to multiple departments as needed.
  • Assist with employee onboarding and orientation activities.
  • Support training efforts related to time reporting tools and administrative processes.
  • Perform additional administrative duties assigned by management.

Required Qualifications

  • High School Diploma or equivalent.
  • Minimum 2 years of administrative support experience.
  • Experience with timekeeping systems is preferred.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail with a high level of accuracy.
  • Ability to maintain confidential information.
  • Strong verbal and written communication skills.
  • Excellent problem-solving and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.

Preferred Qualifications

  • Experience supporting payroll or employee time reporting.
  • Experience working in a service, operations, logistics, or administrative environment.
  • Familiarity with office procurement and record management.

Work Environment

  • Must be able to travel between the Shelby and Howell Service Centers according to the rotating weekly schedule.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong customer service mindset with a proactive approach to supporting internal teams.
