Job description

Facilities Service Company is seeking an Administrative Coordinator to become a key member of our office team.


This position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and can shift from one priority to another while maintaining a positive attitude and exceptional attention to detail.

The Administrative Coordinator serves as a central communication hub between customers, employees, managers, vendors, and visitors. One moment you may be assisting with employee timekeeping, the next helping a customer solve a problem, coordinating a delivery, supporting a marketing campaign, or helping a manager meet an important deadline.


We are looking for someone who is organized, adaptable, quick-thinking, and genuinely enjoys helping people. If you excel in a team environment and enjoy being the person others depend upon to keep things running smoothly, we would like to hear from you.


What You'll Do

  • Answer and direct incoming phone calls
  • Welcome visitors, vendors, and applicants
  • Coordinate incoming mail, deliveries, and office logistics
  • Assist with employee timekeeping and payroll support
  • Communicate with Managers and Supervisors regarding payroll corrections and missing time records
  • Maintain electronic and physical filing systems
  • Create and edit correspondence, reports, spreadsheets, and presentations
  • Coordinate meetings, calendars, travel arrangements, and office events
  • Serve as a resource for employees needing assistance or direction
  • Support customer service activities and follow-up communications
  • Assist with outbound marketing initiatives and phone campaigns
  • Maintain office supplies and coordinate equipment maintenance
  • Support special projects and company initiatives as assigned

  • Minimum 3 years of administrative, office coordination, customer service, or related experience
  • Strong Microsoft Office skills including Outlook, Excel, Word, and PowerPoint
  • Exceptional communication skills, both verbal and written
