Job description

Responsibilities

The Administrative Assistant III is responsible for providing administrative support to the Adult Day Health Center (ADHC). Provides administrative support to the Center Director and the center management team.

  • Completes the opening and/or closing of the office
  • Answers and directs all incoming calls to appropriate individuals and departments.
  • Greets and/or directs visitors and employees to the facility
  • Provides general information about InnovAge programs and services to participants, families, outside agencies and the general public.
  • Provides backup coverage to other administrative team members.
  • Receives, sorts, scans and distributes mail and electronic faxes in a timely manner.
  • Orders and coordinates the delivery of office supplies maintaining adequate supply
  • Acts as a point person in case of any emergency situation(s) that occur during office hours.
  • Maintains various files and ensures that records are filed correctly and in a timely manner.
  • Coordinates and organizes office space, equipment, supplies and forms
  • Runs reports using various software applications in assistance of management
  • Oversees all center administrative efforts and communicates to the Inter-Disciplinary Team.
  • Completes miscellaneous projects for the team as appropriate.
  • Attends meetings, performs setup and coordination and takes minutes as needed.

REQUIRED

  • 8+ yrs administrative support
  • Advanced skill level with MS Teams & Office (Outlook, Word, Excell)
  • Strong grammar, spelling, punctuation, editing and verbal/written communication skills
  • Experience managing high call volume on a multi-line phone system
  • Experience and use of office equipment as copiers, printers, fax machines, postage meters, scanners and computers.
  • Experience with handling and maintaining confidentiality of various issues and/or responses and maintaining professionalism.
  • High School Diploma/GED
