POSITION SUMMARY
The Health Systems Specialist (HSS) serves as an operational and administrative partner to the Associate Chief Nursing Officer (ACNO) and Nursing Services team. This position supports the planning, coordination, implementation, and evaluation of nursing programs, projects, and operational initiatives that advance organizational and departmental goals.
The HSS works collaboratively with nursing leaders, clinical staff, and multidisciplinary stakeholders to improve operational efficiency, support quality initiatives, manage projects, analyze data, coordinate committees, and facilitate the successful execution of Nursing Services priorities. The role serves as a key resource for process improvement, program management, regulatory readiness, workforce initiatives, and organizational communication.
The HSS performs administrative, analytical, and project management functions requiring strong organizational skills, nursing knowledge, independent judgment, and the ability to effectively coordinate across multiple departments and teams. This position supports Nursing Services through the management of initiatives, tracking of outcomes, facilitation of communication, and coordination of activities that promote safe, effective, and efficient patient care.
POSITION REQUIREMENTS
  • Licensure/Certification/Registrations: Certification in healthcare quality, project management, nursing leadership, Lean, Six Sigma, or related specialty preferred.
  • Education: Bachelor's degree in Healthcare Administration, Nursing, Health Sciences, Organizational Leadership, Business Administration, or a related clinical or healthcare field preferred.
  • Experience: Minimum five (5) years of clinical experience required. Minimum three (3) years of experience in clinical leadership support, healthcare operations, quality improvement, program management, healthcare administration, or project coordination preferred. Experience collaborating with multidisciplinary teams required. Experience supporting organizational initiatives, quality improvement projects, or regulatory activities preferred. Experience with healthcare data analysis and reporting preferred.
  • Skills & Abilities: Knowledge of nursing operations, healthcare delivery systems, and regulatory requirements. Strong project management, organizational, and time management skills. Ability to coordinate multiple initiatives and competing priorities simultaneously. Excellent written, verbal, and interpersonal communication skills. Strong analytical and problem-solving abilities. Ability to gather, organize, analyze, and interpret data. Ability to develop reports, presentations, and educational materials. Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, and Teams. Strong facilitation and collaboration skills. Ability to build productive relationships across departments. Ability to work independently and as part of a team. Ability to maintain confidentiality and exercise professional judgment. Demonstrated attention to detail and follow-through.

ESSENTIAL FUNCTIONS
Project and Operational Leadership
  • Coordinate and support Nursing Services projects, strategic initiatives, and operational priorities as assigned by the ACNO.
  • Develop project plans, timelines, and implementation strategies; monitors progress and facilitates issue resolution.
  • Support the implementation of new programs, workflows, and process improvement initiatives to enhance operational efficiency and patient care.

Data Analysis and Performance Improvement
  • Collect, analyze, and present operational, workforce, quality, and patient care data to support decision-making and organizational goals.
  • Develops reports, dashboards, scorecards, and presentations to monitor key performance indicators and identify improvement opportunities.
  • Participate in quality improvement initiatives and supports performance improvement activities across Nursing Services.

Regulatory and Compliance Support
  • Assist with accreditation readiness, regulatory compliance activities, policy review, and quality metric monitoring.
  • Coordinate follow-up actions and documentation related to quality, safety, and regulatory initiatives.

Committee and Stakeholder Coordination
  • Coordinate Nursing Services committees, councils, leadership meetings, and interdisciplinary workgroups.
  • Prepare agendas, meeting materials, minutes, action items, and follow-up communications.
  • Serves as a liaison between Nursing Services and internal stakeholders to promote collaboration and alignment with organizational priorities.

Workforce and Professional Practice Support
  • Support workforce initiatives including recruitment, retention, onboarding, employee engagement, recognition, and professional development activities.
  • Assist with projects and programs that promote nursing practice excellence, staff development, and workforce planning.

Administrative and Communication Support
  • Prepare reports, presentations, correspondence, educational materials, and other communications in support of Nursing Services leadership.
  • Maintains project documentation, records, and confidential information in a professional and organized manner.
  • Provides administrative and operational support to the ACNO and Nursing Services leadership, including special projects and organizational initiatives.
