Position Description

Position Title: Accounting Receptionist

Reports to: Accounting Director

Status: Full-time (Exempt) with Benefits

Position Summary

The Accounting Receptionist serves as the first point of contact for the Accounting Department and provides administrative and clerical support to ensure efficient departmental operations. This position is responsible for greeting visitors, answering phones, maintaining records, assisting with accounts payable documentation, processing incoming and outgoing correspondence, and supporting accounting staff with administrative tasks while maintaining confidentiality of financial information.

Essential Duties and Responsibilities

  • Greet and assist visitors, tribal members, vendors, and employees in a professional and courteous manner.
  • Answer, screen, and direct incoming telephone calls.
  • Receive, sort, and distribute incoming mail and correspondence.
  • Prepare outgoing mail, packages, and correspondence.
  • Maintain organized filing systems for accounting records, vendor files, and financial documents.
  • Scan, index, and electronically file supporting documentation into accounting software and document management systems.
  • Assist with requisition tracking and routing for approvals.
  • Receive invoices and ensure supporting documentation is attached before processing.
  • Schedule meetings and maintain departmental calendars as requested.
  • Assist with records retention and document management procedures.
  • Provide administrative support to the Accounting Director and accounting staff.
  • Maintain confidentiality of all financial, personnel, and tribal information.
  • Perform data entry and other clerical duties as assigned.
  • Assist with special projects and audits as needed.

Minimum Qualifications

  • High School Diploma or GED required.
  • Associate degree in Business Administration, Accounting, or related field preferred.
  • One (1) year of administrative, receptionist, or office experience preferred.
  • Experience working in a tribal government environment preferred.
  • Valid driver's license and insurable driving record.

Knowledge, Skills, and Abilities

  • Excellent customer service and communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Knowledge of office equipment and filing systems.

Physical Requirements

  • Ability to sit for extended periods.
  • Ability to lift and carry files and office supplies up to 25 pounds.
  • Ability to operate standard office equipment.


Indian Preference

Indian Preference will be given in accordance with applicable Tribal and federal laws, regulations, and policies.
