Receptionist / Secretary

Openwork is currently engaged in a search to find a professional and organized Receptionist / Secretary. In this role, youll be responsible for supporting daily office operations, assisting customers and vendors, maintaining important records, and helping ensure communication flows smoothly throughout the organization. If you are detail-oriented, customer-focused, and enjoy keeping an office organized, this is a great opportunity for you!

What Youll Be Responsible For
  • Answer incoming phone calls and direct callers to the appropriate sales associate.

  • Maintain and organize invoiced orders, open orders, quotes, vendor bills, and other company records.

  • Communicate between customers and factory partners regarding shipping dates and tracking information.

  • Process new customer accounts, including documentation needed to establish lines of credit.

  • Greet customers and visitors and direct them to the appropriate person or location..

  • Send monthly customer statements.

  • Review vendor statements and report discrepancies to the accounting department.

  • Maintain and update customer, vendor, quote, and stock files throughout the year.

  • Assist with entering vendor bills and invoicing customers as needed.
