Job Overview:


We are seeking a dedicated and organized Accounts Payable Specialist to join our team in the Portable Sanitation Industry. The ideal candidate will be responsible for managing vendor invoices, processing payments, and maintaining accurate financial records. This role plays a crucial part in ensuring timely payments to vendors and supporting the overall financial operations of our company.


Key Responsibilities:


  1. Process and verify vendor invoices and purchase orders, ensuring accuracy and compliance with company policies.
  2. Prepare and schedule payments to vendors in an accurate and timely manner, utilizing electronic payment methods and checks.
  3. Reconcile vendor statements and resolve any discrepancies or issues with suppliers.
  4. Maintain accurate and up-to-date accounts payable records in the accounting system.
  5. Assist with month-end closing activities, including account reconciliations and accruals.
  6. Communicate with vendors regarding payment inquiries and resolve any billing issues or disputes.
  7. Assist in the preparation of financial reports related to accounts payable as required.
  8. Collaborate with the purchasing and receiving departments to ensure proper documentation and approval of invoices.
  9. Ensure compliance with internal controls, policies, and procedures related to accounts payable.
  10. Assist with other accounting and finance tasks as needed.
  11. Build and maintain a mastery of the Accounts Payable systems. Work with any vendors to investigate and resolve issues relating to Accounts Payable or related reporting.
  12. Other duties, as assigned.


Qualifications:


  1. High school diploma or equivalent; Associate's or Bachelor's degree in Accounting or related field preferred.
  2. Minimum of 2-3 years of experience in accounts payable, preferably in the portable sanitation industry.
  3. Strong knowledge of accounting principles and practices.
  4. Proficiency in Microsoft Office Suite, especially Excel, and accounting software (e.g., QuickBooks).
  5. Excellent attention to detail and accuracy.
  6. Strong organizational and multitasking skills.
  7. Excellent communication and interpersonal skills.
  8. Ability to work independently and as part of a team.
