Position Overview
The Academic Program Manager serves as a key operational leader within the Division of Academic Affairs at the Texas College of Osteopathic Medicine (TCOM). This position is responsible for the comprehensive coordination, planning, and implementation of medical education courses and curricular events across the DO program. The Academic Program Manager works collaboratively with the Senior Associate Dean for Academic Affairs, curriculum directors, course directors, section directors, and faculty to ensure seamless delivery of the medical education curriculum.
This is a highly independent role requiring a self-directed, proactive professional who anticipates operational needs, resolves challenges before they escalate, and brings strong organizational and systems-thinking skills to a complex, fast-paced academic medical environment. The Academic Program Manager is expected to lead assigned activities with minimal day-to-day supervision while maintaining clear communication with leadership and faculty stakeholders.
Minimum Qualifications
Bachelor's degree and four (4) years of related experience; or any equivalent combination of education and experience.
Knowledge, Skills and Abilities
- Demonstrated proficiency with Microsoft Office Suite, including advanced Excel skills (data management, formulas, pivot tables, reporting).
- Proven ability to manage multiple complex projects simultaneously and meet deadlines with minimal supervision.
- Exceptional written and verbal communication skills, with the ability to interact effectively across all levels of an academic institution.
- Strong analytical and problem-solving skills.
- Ability to anticipate challenges and develop proactive solutions.
Preferred Qualifications
- Master's degree in a relevant field.
- Demonstrated experience handling confidential and sensitive information with discretion and professionalism.
- Experience in medical, osteopathic, or health professions education administration.
- Demonstrated expertise with Canvas LMS, including course building, gradebook management, and reporting functions.
- Experience coordinating Objective Structured Clinical Examinations (OSCEs) or similar clinical competency assessments.
- Experience collaborating with clinical department coordinators and academic department chairs.
- Knowledge of COCA accreditation standards and medical education regulatory requirements.
- Experience with academic scheduling or event management software.
Job Duties
- Serve as the primary operational point of contact for assigned courses and academic events; coordinate scheduling, room reservations, AV/technology needs, and faculty communications.
- Build, maintain, and manage course content in the Canvas LMS; partner with course directors to develop and distribute syllabi, assignments, assessments, and course materials.
- Record, track, analyze, and report student academic performance data; maintain confidential student records in compliance with FERPA; prepare grade reports and academic summaries.
- Plan and execute academic events such as OSCEs, skills labs, simulations, quizzes, remediation sessions, and other curricular activities.
- Develop organizational processes, templates, reports, and documentation; support accreditation, curriculum committee reporting, and continuous quality improvement initiatives.
