Job description

Office Assistant
Location: Eastern Suburbs of Columbus, Ohio
Job Type: Full-Time
Pay: Salaried. $38,000 - $42,000
About the Position
We are seeking a compassionate, organized, and professional Front Office Associate/Receptionist to join our growing mental health agency. This role is responsible for front desk operations, client intake coordination, scheduling, insurance verification, and administrative support for our clinical team.
The ideal candidate will have experience in medical reception, behavioral health administration, customer service, or healthcare scheduling and be comfortable working in a fast-paced mental health environment.
Key Responsibilities
  • Greet clients, visitors, and community partners professionally
  • Check in clients and collect required documentation and information
  • Schedule appointments and complete intake coordination
  • Conduct follow-up calls, texts, and emails with clients
  • Verify and enter insurance benefits accurately
  • Ensure enrollment paperwork is complete prior to scheduling
  • Maintain intake and waitlist tracking spreadsheets
  • Process referrals from providers and community partners
  • Monitor online forms, client portals, emails, and referral requests
  • Work closely with providers to maintain full schedules
  • Communicate schedule updates and changes throughout the day
  • Track incoming faxes and scan documentation into EHR systems
  • Assist providers and clinical staff with administrative tasks
  • Maintain HIPAA compliance and confidentiality standards
  • Support office operations and adapt to agency needs as required
Qualifications
  • High School Diploma required
  • Associate Degree preferred
  • Previous receptionist, front desk, medical office, or intake coordination experience preferred
  • Experience working with Electronic Health Record (EHR) systems required
  • Strong customer service and communication skills
  • Comfortable working in a behavioral health or mental health setting
  • Ability to multitask and manage a high-volume workflow
  • Strong organizational and administrative skills
Requirements
  • Successful completion of BCI and FBI fingerprint background checks
  • Pass pre-employment drug screening
  • No criminal offenses related to children or sex offender registry
  • Completion of HIPAA/confidentiality documentation
  • Reliable attendance and professionalism
