Hunter Truck is hiring! We are currently looking for a motivated and committed team member to join our Butler, PA location as an Accounts Payable Supervisor.

SUMMARY:

The Accounts Payable Supervisor supports the accounting management team in carrying out the responsibilities of the AP Team within the accounting department.

EDUCATION and/or EXPERIENCE

  • Bachelor's degree in accounting, business or finance from an accredited four-year college or university
  • Four to six years related experience and/or training; or equivalent combination of education and experience required.
  • On-the-job training and computer software training provided.

CERTIFICATES, LICENSES, REGISTRATIONS

  • Valid driver’s license and driving record that meets company insurability standards.

ESSENTIAL DUTIES: include the following. Other duties may be assigned.

  • Responsible for oversight of the AP team, including review of work performed by all AP team members, providing daily assistance to the team, ensuring adequate coverage and support for internal and external customers. Aiding the team in the processing of daily work, reconciliation and management of Procede schedules, ensuring all are up to date and resolving any old outstanding issues. Develop working schedules to maintain coverage during core hours and when team members are out of the office. Overtime required, as necessary.
  • Looks for ways to improve existing processes for more efficiency, develop and document processes to help the team work more efficiently, and assist management with the implementation of new programs affecting the team.
  • Monitors AP aging closely, implementing effective review of AP and AP Clearing individual item schedules ensuring the resolution of aged payables are timely addressed.
  • Performs large vendor statement reviews and reconciliations to ensure that aged items are timely addressed.
  • Follows up on the aging of parts return receivables and ensure that they are being collected/resolved timely.
  • Facilitates information gathering for outside sales and use tax audits, tracking and reconciling all information and supporting documentation before providing to outside auditors.
  • Oversight and sign off on weekly use tax review of invoices for proper tax reporting.
  • Coordinates the AP file change from year to year - ordering new files and labels at the beginning of each year, then planning the removal of the prior year files. Align the space needed on the wall efficiently so adequate room is available for all vendors. Schedule the transfer of the prior year files to storage after completion of the year end audit.
  • Assists in month end, quarter end and year end closing processes; ensures transactions and branch PO’s are recorded and processed timely and all internal policies and procedures are followed.
  • Be available during core working hours of 8:30am-5pm daily, being available to assist/address questions from the AP team, demonstrating strong leadership qualities with the ability to motivate and mentor team members. Display a team-oriented, resourceful, and proactive approach to problem-solving, with excellent customer service and communication skills.
  • Develops and implements accounting procedures by analyzing current procedures and recommending changes. Documents AP standard methodologies, identifies inefficiencies, and proposes changes for management review.
  • Conducts training for new staff, internal business partners and suppliers, with heavy emphasis on coaching, collaborating and support.
  • Utilizes knowledge to assist with the development and monitoring of internal controls in accordance with established policies and procedures to ensure sound business practices are being followed.
  • Maintains financial security by following internal controls and protects organizational value by keeping financial information confidential.
  • Obtains and maintains a thorough understanding of the Company’s operations and any corresponding laws/regulations.
  • Adheres to compliance with / completion of departmental checklists to evidence completeness and timeliness of procedures performed.
  • Assists the accounting management team with special projects as needed and as requested.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining networks and participating in professional organizations.
  • Teamwork and collaboration within departments and branches. Collaborate with internal departments and suppliers to research and resolve account discrepancies, serving as the primary point of contact.
  • Maintains a professional appearance and a neat and organized work area, for themselves as well as the entire team.
  • Adheres to and promotes all existing health and safety policies in the workplace to reinforce the Hunter Truck culture of a safe work environment.
