Job Description:
The School of Health Professions at the College of St. Scholastica is seeking an Administrative Specialist to join a team that is dedicated to student success. This job provides administrative and operational support to the School of Health Professions Department of Physical Therapy, to include both the Doctor of Physical Therapy (DPT) and transitional Doctor of Physical Therapy (tDPT) programs. The Administrative Specialist coordinates information flow between students, faculty, administrators, internal college departments and outside agencies. This position exists to develop, manage, maintain, and support the administrative, operational, regulatory, and assessment activities and processes associated with the Department of Physical Therapy.
Required Qualifications:
- Three years of administrative support experience.
- Demonstrated ability to work effectively as part of a team.
- Demonstrated ability to communicate effectively in written and oral contexts.
- Experience in effectively working with a diverse population
- Experience with managing and coordinating multiple tasks.
- Experience with office skills of keyboarding, filing, and answering telephones.
Preferred Qualifications:
- Associate’s or Bachelor’s Degree in a related field
- Experience with Google Suite and Microsoft applications
- Minimum of five years of office or administrative support experience
- Notary Public
Key Responsibilities:
Provide administrative support for the Department of Physical Therapy
- Support requirements for accreditation and licensure
- Support department administrators with program functions and procedures, including budget-related requirements
- Manage all department records and documentation
- Support faculty onboarding and orientation
- Manage administrative functions requested by the College and School
Provide student support services for the department
- Communicate with current, prospective, and former students as needed
- Maintain student records
- Support department clinical education requirements including clinical agreements, student clinical compliance, background studies and insurance verification
- Assist graduating students with requirements related to graduation, commencement, and licensing
- Coordinate program events
- Assist with administration of course and program examinations
Provide customer service to internal and external constituents
- Interact respectfully and collaboratively with all individuals
- Collaborate with the administrative staff group around shared processes
Collaborate with the administrative staff group to provide operational support for the Health Science Center building
- Respond to visitors and inquiries, directing requests to the appropriate person(s)
- Coordinate building hours of operation
- Onboard security workers
- Communicate with internal and external entities regarding building maintenance/repair as needed
