The Office Manager / Accounting Assistant is a critical member of the Club’s finance staff, responsible for all day-to-day activities of the Club’s Accounting and Finance Department, including AR, AP, GL, member file management, vendor file management, filing, and administrative responsibilities. This position reports the Club’s CFO and requires prior accounting experience, exceptional computer skills, and, because this role includes frequent interaction with Club members, strong customer relations skills. Previous experience in the private club industry is desirable but not required.

Requirements:The Office Manager / Accounting Assistant is responsible for maintaining digital member and vendor files in the Club’s ERP (Clubessential), posting daily sales batches, posting member payments, processing monthly member billing, posting AP invoices, and processing vendor payments. Candidates must possess direct experience in Accounts Receivable, including collections, and Accounts Payable to be considered for this role. This position requires strong technical skills, proficiency in the Microsoft Office suite and strong written and verbal communication skills.

Job Tasks/Duties
• Creates financial transactions, including posting information to computerized accounting journals from source documents such as member invoices, cash receipts and supplier invoices.
• Accurately maintain member account balances, including monthly, quarterly, and annual dues and fee billing and other miscellaneous charges.
• Collect member payments, post to the member’s account, and deposit payments in a timely fashion.
• Prepare, validate, and mail member statements monthly or more frequently as directed. Accurately record vendor invoices, reconcile transactions to statements, and maintain accurate records of inventory purchases.
• Process, write and issue all invoices and check requests for payments on accounts.
• Complete daily update of POS system data, including banquet and golf events, and post to the appropriate accounting journals.
• Control and monitor petty cash, including disbursements and replenishment.
Core Competencies
• Fundamental accounting skills, including AP, AR and GL.
• Strong computer skills: familiarity with Microsoft office strongly preferred.
• Strong math skills including the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Education and/or Experience
Experience with ClubEssential Software and Paylocity is preferred.
Two-year associates degree from accredited college or technical school or three to six years related experience and/or training; or equivalent combination of education and experience may substitute.
