JOB SUMMARY

In a collaborative, team focused environment, the Senior Program Manager of Compliance and Special Events is primarily responsible for compliance to Serve IL and Public Allies. The Senior Program Manager of Compliance and Special Events will work closely with Serve IL, our AmeriCorps state commission partner, and our national office to ensure complete compliance with AmeriCorps rules and guidelines. The Senior Program Manager of Compliance and Special Events will work closely with the Executive Director to co-create and lead the compliance strategy. This role is also responsible for managing and coaching a group of 10 Allies, the Team Service Project process and PAC special and programmatic events. The Senior Program Manager of Compliance and Special Events work ensures a smooth enrollment and graduation process for the Allies.


ESSENTIAL JOB FUNCTIONS & KEY OUTCOMES

  • Leading compliance efforts for PAC which will include:
    • In conjunction with the PAC staff, create and implement compliance processes in alignment with Serve IL;
    • Manage site enrollment, exiting, suspension and graduation processes for PAC;
    • Work closely with Program Staff to complete administrative duties related to all aspects of our program, including maintaining accurate paperwork/record keeping for Ally team, regular Serve IL reporting, and ensuring Allies and community partners submit required paperwork and complete required data entries in a timely manner;
    • Collaborating with the PANO MAC Team to monitor status of new member background checks and ensure members have the information they need to complete the checks;
    • Monitoring the completion of new member background checks;
    • Collaborating with program staff lead for Ally recruitment to ensure matched members understand and complete background checks;
    • Supporting PAC Team to complete suspension, early exit, eGrants and additional compliance procedures;
    • Attending and reporting on Serve IL meetings to the team;
    • Monitoring leadership journal;
    • Monitoring eGrants;
    • Working with PAC team and PANO to maintain Ally files using Salesforce
    • Facilitate internal compliance audits on a quarterly basis
  • Team Service Project (TSP) Management:
    • Develop, Administer and Evaluate the TSP;
    • Ensuring that all Allies understand their responsibilities as they relate to the team service projects;
    • Revising the curriculum as needed.
  • Plan and Manage PAC events:
    • Support the development and successful implementation of Ally retreats, service days, and special events designed to support and celebrate Allies;
    • Support the management of YouFair;
    • Support the management of the Matching Fair;
    • Support the Ally orientation week;
  • Manage /Coach a group of 10 Allies. Provide an outlet for a positive development of Allies through individual and group coaching, ongoing management, and providing supportive and direct feedback to ensure leadership development and Ally retention;
  • Complete administrative and compliance duties, including maintaining first-year Ally files, regular AmeriCorps reporting, and ensuring Allies submit required paperwork and complete required data entries in a timely manner;
  • Other related duties as assigned.

WORKING CONDITIONS

The position is predominantly sedentary requiring the ability to sit, bend, stand and walk. It may require occasional stooping, reaching, stair-climbing and repetitive motions of the hands and wrist related to writing and typing at an electronic keyboard. It rarely requires kneeling, pushing/pulling, and repetitive motions of the feet.

Physical demands of the position necessitate hearing, talking, handling, and grasping regularly. Specific vision conditions include close vision reading. It requires the ability to operate a computer, telephone, fax, copy machine and adding machine or calculator.


The position is generally performed in an office environment. The noise level is generally low to quiet. The work environment characteristics are representative of those an employee encounters while performing the essential functions of this position.
